    How you will make a difference

    Shrimp Welfare Project has some ambitious 2030 goals, and as we expand, the needs of the team have grown. To meet our growing capacity needs, we are seeking a dedicated Operations Coordinator to oversee the financial day-to-day of SWP and general systems use within the organization.

    As the Operations Coordinator, you will be responsible for the following:

    1. Financial bookkeeping and maintenance:
      • Maintain a clear system for receipts/invoices/approvals so spending is traceable and compliant with internal policies and UK regulations.
      • Coordinate payroll-related financial inputs (e.g., contractor payments, reimbursements, EOR invoices) and ensure deadlines are met.
    2. UK Charity Governance:
      • Own and maintain the UK tax and regulatory anchor, with oversight from the Director of Operations, Chief Executive Officer and SWP Board.
      • Coordinate required filings and confirmations.
      • Prepare/coordinate board finance items (e.g., reporting, required docs) in collaboration with leadership.
      • Keep systems audit-ready (documentation, approvals trail, records hygiene).
      • Be primary liaison with accountants/lawyers/advisors and ensure deliverables land on time.
    3. Systems & Tools:
      • Support the set up and maintenance of key workspaces/structures in Notion (databases, templates, permissions, and documentation) in collaboration with the Director of Operations.
      • Serve as first-line support for team troubleshooting (access issues, workflows, “how do I do X?”), escalating to vendors/support when needed.
      • Maintain onboarding materials and lightweight training so new team members can use tools effectively and consistently.
      • Identify opportunities to improve/automate workflows (especially for ops/finance/governance processes) and implement improvements with clear change management.
    4. Donor Relations:
      • Work with the Director of Communications to build and maintain our relationships with individual donors.
      • Manage the donor database, track engagement, and identify opportunities for relationship-building.
      • Develop email journeys for automated and personalized outreach.
      • Assist in the development of donor reports on a quarterly basis.
      • Field inquiries from prospective and current donors, liaising between supporters and the SWP team.
    5. Organizational Health:
      • Support the Director of Operations and team with hiring rounds and volunteer screening, as necessary.
      • Lead the logistics planning around the annual team retreat (affectionately called Shrimposium).

    What we need

    • Primary Residence: This role is strictly based in the United Kingdom. Candidates must be UK Tax Residents and physically present in the UK for the majority of the working year.
    • Right to Work: Must have a permanent, legal right to work in the UK (we are unable to provide sponsorship for this role).
    • Experience in operations, preferably in a nonprofit setting.
    • Experience with UK charity governance/compliance (or demonstrated ability to learn quickly with support from external advisors).
    • Strong problem-solving skills, with a proactive mindset for identifying and addressing bottlenecks.
    • Familiarity with technology solutions such as data systems, automation tools, or AI-driven systems.
    • Ability to manage multiple tasks simultaneously and adapt to evolving priorities.
    • Passion for SWP’s mission and a strong commitment to animal welfare.
    • Excellent communication and collaboration skills, with the ability to work across diverse teams and partnerships.
    • High level of attention to detail and organization.
