    Position Overview:

    FKSW is seeking a proactive and detail-oriented Part-Time Administrator to support our small but growing team. This role will provide essential administrative, communications, and coordination support for our board, partners in Kenya, and programs. The ideal candidate is organized, mission-driven, and comfortable working independently in a remote setting. Because FKSW is a lean and evolving organization, this position calls for someone who thrives in dynamic environments, someone who can comfortably wear multiple hats, adapt as priorities shift, and contribute creatively to systems-building and problem-solving.

    This is an opportunity to help shape a growing organization that is reimagining how locally driven education and development initiatives can thrive in a rapidly changing Kenya.This role requires a collaborative leader with expertise in non-profit management, fundraising, and partnership-building, and a genuine passion for strengthening Kenyan communities through education and local partnership.

    Key Responsibilities:

    Board of Directors Support

    • Work with the Operations Committee to organize and prepare for Board meetings
    • Attend and record meeting minutes
    • Track and follow up on board commitments, action items, and next steps to ensure timely progress and accountability.
    • Assist with follow-up communications and documentation

    Fundraising & Donor Communication

    • Collaborate with the FKSW Operations Committee to prepare and distribute member newsletters twice a year
    • Draft, review (with the FKSW Fundraising Committee), and distribute donation appeals at least twice a year
    • Develop and manage a stock donation program, including preparing donor materials for tax reporting
    • Assist with communications and donor outreach (email updates, thank-you letters, basic story telling posts)
    • Manage donor relationships, cultivation and onboarding of new donors

    Administrative / Operations Support

    • Coordinate logistics for fundraising events and Kenya project updates
    • Assist in planning and coordinating trips to Kenya (1-2x/year) for monitoring, evaluation and learning(MEL) site visits for Board members and donors
    • Liaise with FKSW’s Kenya partners for reporting and project follow-ups every month or according to set cadence
    • Provide general administrative and clerical support (emails, scheduling, file management)
    • Maintain records, documents, and contact databases (Google Workspace, CRM platform, or similar tools)

    Financial Management and Bookkeeping

    • Maintain financial records including depositing revenue, sending donor tax receipts and thank-you notes, recording income and expenditures in bookkeeping software, and reconciling with bank statements on a regular basis. Prepare quarterly financial statements (revenue/expenditures, financial position, budget vs. actual) and support the annual budget process in collaboration with the Operations Committee and Board.
    • Assist with annual IRS Form 990 and Oregon Form CT-12 filings.

    Qualifications:

    Required:

    • Strong organizational skills and attention to detail
    • Excellent written and verbal communication
    • Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail, etc.)
    • Self-starter with ability to manage multiple tasks and deadlines
    • Comfort with remote collaboration tools (e.g., Zoom, WhatsApp, Slack, Trello, Asana) and working across virtual teams
    • Strong ethical standards, cultural sensitivity, and commitment to inclusive, equitable practices
    • Experience with fundraising, newsletters and administrative roles
    • Flexibility and problem-solving mindset suited to a small, evolving organization operating in dynamic environments

    Preferred:

    • Nonprofit or international development experience
    • Financial management skills
    • Familiarity or interest with Kenya, education and/or international community development
    • Commitment to locally led development principles and demonstrated respect for community voice, ownership, and partnership
    • Cross-cultural communication skills and the ability to collaborate effectively with partners and colleagues across time zones and contexts
    • Experience supporting or coordinating programs with Kenyan or East African partners, or a strong desire to learn about community-led work in the region.
    • Ability to translate strategic goals into practical systems - tracking commitments, maintaining documentation, and supporting implementation
