    Job description

    The Pro Bono & Volunteer Unit has an immediate opening for an Administrative Assistant to support the unit’s programmatic work and compliance responsibilities. The Administrative Assistant is a position under the direct supervision of the Unit Director. The Administrative Assistant is responsible for administrative tasks pertinent to the preparation of legal clinics, including preparing files, calling clients, providing day-of support, as needed, and completing data entry capturing participation and outcomes in clinics. The Administrative Assistant will also provide support for case placements, including but not limited to, file preparation, scanning documents, data entry, and closing cases in NYLAG’s case management system. The Administrative Assistant is responsible for providing logistical support for Continuing Legal Education (CLE) programs offered at NYLAG, tracking all CLE programs and maintaining records from each course, issuing Continuing Legal Education (CLE) certificates for all internal CLE programming and for pro bono CLE credit, and preparing the annual report for NYLAG CLE recertification and CLE pro bono compliance. Together with the rest of the team, the Administrative Assistant supports NYLAG’s staff and our community of volunteers by ensuring we offer seamless and meaningful educational and volunteer experiences.

    Duties and Responsibilities

    In addition to new tasks and responsibilities as they arise, the Administrative Assistant may also:

    • Prepare case files and other preparatory documents for NYLAG clinics and pro bono matters;
    • Confirm client clinic appointments and answer client logistical questions in advance of clinics;
    • Assist with data entry and record maintenance for pro bono cases;
    • Assist with data compilation and confirmation for annual audit;
    • Provide administrative support at clinics and community outreach events;
    • Provide administrative support at volunteer and recruitment events;
    • Provide administrative support for NYLAG’s Summer Training Series;
    • Track and maintain records for NYLAG’s Continuing Legal Education (CLE) courses and pro bono hours;
    • Issue CLE certificates of attendance for all NYLAG staff, presenters, and volunteers;
    • Draft annual report on CLE courses; and
    • Other and further tasks that support NYLAG volunteers and the Pro Bono and Volunteer Unit.

    Qualifications

    • Bachelor’s degree or equivalent experience
    • Strong written and verbal communication skills (clearly and compassionately communicating with clients and professionally communicating with staff and partners)
    • Fluency in written and spoken Spanish
    • Strong organizational skills with exceptional attention to detail
    • Proficiency in Microsoft applications, including strong Excel skills
    • Experience preparing documents, reports, and maintaining files
    • Ability to manage multiple deadlines in a fast-paced environment

    Salary Range: NYLAG is a unionized workplace, and salaries are set pursuant to a collective bargaining agreement. The current salary range for this position is between $65,500-$68,700.

    NYLAG is committed to a hybrid work policy for staff whose work does not require their full-time presence in the office. NYLAG’s current policy is that most staff are required to work in NYLAG’s offices or do other in-person work at least two days each week. This policy is subject to change.
