    Overview: Spark Kindness is seeking a reliable and organized Operations Manager/Bookkeeper to join our small but highly engaged and supportive team. This hybrid, part-time role (10 hours/week) supports our remote office operations, including bookkeeping, financial reporting, general record keeping and administrative and event coordination.

    This is a flexible position with opportunities for growth and professional development in a mission-driven nonprofit environment.

    This position:

    • Reports to Spark’s Associate Executive Director.
    • Maintains a flexible schedule.
    • Works remotely with regular travel to community locations in Natick/ MetroWest, MA for meetings and programs.
    • Requires some evening and weekend hours for programs and team meeting commitments.

    Key Responsibilities:

    I. Bookkeeping:

    • Track income and expenses in shared google doc.
    • Support data entry, donor acknowledgment, and vendor invoicing.
    • Maintain accurate financial records in Quickbooks, including general ledger entries, accounts payable, and accounts receivable.
    • Assist with budget tracking and financial reporting for grants and programs.
    • Process invoices and bank deposits, pay bills (EFT, online and mail).
    • Prepare financial statements and reports for ED, AED and Board.
    • Participate in the budget process annually.
    • Reconcile bank accounts and debit/credit cards.
    • Prepare 1099s and other tax documentation for vendors and speakers.
    • Complete Workers Comp Insurance audit annually.
    • Process bi-weekly payroll and employee expenses using a payroll service company.
    • Support annual financial review and tax preparation, working closely with Spark accountant to file all forms and necessary paperwork with the IRS.
    • Manage grants accounting and financial reporting.

    II. General Operations Management:

    • Maintain organizational records, files, and systems.
    • Manage contracts, subscriptions, memberships, accounts and licenses with all vendors, including online systems (zoom, constant contact, little green light), accountant, insurance renewals, and town forms, etc.
    • Handle general inquiries and respond to phone calls and emails.
    • Set-up/ maintain paper and electronic files and systems to manage key historical documents related to board, governance, programming, fundraising and human resources.
    • Support the Executive Director (ED) and Associate Executive Director (AED) with administrative tasks including calendar management and scheduling internal meetings, Board meetings, and team events.
    • Check PO Box for mail, donations and other items needing action.
    • Deliver checks to vendors and associates when needed and appropriate.

    III. Office and Event Supply Management

    • Manage office supplies, event supplies and equipment.
    • Oversee management and organization of Spark Kindness storage facility, which houses supplies for Spark’s public programs and events.
    • Maintain schedule and supply/set-up needs for public events; communicate details with staff.

    IV. Other Responsibilities (required of all Spark employees):

    • Maintain confidentiality of sensitive information.
    • Attend training and development opportunities to enhance skills.
    • Other duties as assigned by the Executive Director/Associate Executive Director.
    • Participate in weekly team staff meetings, and Staff Team Time retreats as scheduled.
    • Attend select educational programs and events and offer support as needed, including:
      • Event set up and/or closing.
      • Greeting and welcoming of attendees.
    • Support Fundraising/Community Outreach Efforts
      • Attend/support Fundraising/Community outreach efforts throughout the year.
      • Assist with outreach during the annual campaign, in particular.
      • Assist with cultivating new members and donors (year-round).

    Qualifications:

    • High school diploma or equivalent required; Associate's or Bachelor's degree in accounting, business administration, or related field preferred.
    • Previous experience in bookkeeping, and payroll.
    • Strong organizational and time management skills.
    • Excellent attention to detail and accuracy.
    • Proficiency in accounting software (e.g., QuickBooks), and Microsoft Office
    • Experience with payroll processing.
    • Excellent communication and interpersonal skills.
    • Ability to work independently (and as part of a team) and maintain confidentiality
    • Familiarity with nonprofit accounting is a plus.

    Physical Demands: This position involves physical work of setting up in person programs and events. This includes:

    • Being able to sit and stand for long periods of time at programs and events;
    • Being able to occasionally lift and/or move up to 25 pounds, including in the process of setting up tents, tables, and exhibits;
    • Being able to walk, climb stairs, and carry materials, including in the process of setting up for programs or events.
