The Los Angeles County Bar Association (LACBA) is searching for an Executive Office Coordinator to support the Executive Office with a wide variety of complex administrative duties demonstrating attentiveness, resourcefulness, professionalism, excellent people skills, reliability, and adaptability.
This position is hybrid, a combination of working in the Downtown Los Angeles Headquarters (three days per week) and remotely (two days per week).
Job Responsibilities
Supports the staff and executive team with the day-to-day operations of the Executive Office, including but not limited to:
- Performs office-related duties, such as screening calls, reviewing hard mail, monitoring Executive Director & CEO (ED & CEO) and other assigned email accounts, processing invoices and reimbursements, handling incoming/ outgoing communications, and coordinates business card orders
- Manages internal executive office calendars and assists with scheduling and coordinating in-person and virtual meetings, including but not limited to internal staff meetings, Board, Executive Committee (EC) and other Committee (such as Audit and Finance Committees, etc.) meetings. Assists with organization of meeting materials in coordination with the Lead Executive Coordinator or other executive staff
- Handles highly sensitive information with confidentiality, discretion, and diplomacy
- Implements and maintains organized filing systems, including corporate minutes and other corporate records, and document control and organization through digital record-keeping systems in compliance with LACBA’s Retention Policy
- Assists with annual projects, including board elections, presidential committee appointments, updates to committee and section executive committee member rosters, and nominations to LACBA’s major awards
- Serves as staff liaison of certain standing committees
- Continuously provide maintenance of board and various committee and section executive committee rosters in the Association Management Software (AMS)
- Oversees other various annual tasks, including hanging of the incoming president’s picture, outgoing president’s gifts from both the board and staff, and updating leadership webpages
- Act as a backup for the Lead Executive Coordinator and mail center duties ensuring seamless operations and workflow continuity during absences and vacation periods
- Initiates, research, undertakes, and completes special projects, tasks and assignments as needed or assigned
- All team members are expected to support and participate in LACBA staff events and other potential events
Experience and Education
- High school diploma or equivalent
- Bachelor’s degree preferred
- 2+ years’ experience in related field

- Proficient in Microsoft Office (Word, Excel, Outlook, Teams, SharePoint, and PowerPoint), Google Drive, Dropbox, Adobe Acrobat, Canva, and Zoom
- Understanding of Robert’s Rules of Order latest edition and governing policies
- Excellent organization, attention to detail, time management, problem-solving, and communication skills (written and verbal)
- Efficiently manage shifting priorities
- Continuous learning and staying ahead of industry trends
- Willingness to work flexible hours, including overtime when necessary
- Understand basic legal terminology
