    The Program Manager plays a key role in supporting the Executive Director, collaborating with the Communications Manager and supervising the Logistics Specialists and Volunteers of The Perry Initiative. This role is central to the smooth operation of all scheduled programs. This key position maintains the behind-the-scenes operational excellence required to achieve the organization’s ambitious outreach goals and ensures that quality programming is reproduced consistently and maintained in excellent working order for all Perry Outreach Program sites nationwide. This includes maintaining inventory of consumable and durable goods, ensuring timely shipping and receiving of program equipment to programs sites across the US, and supervision of Logistics Specialist to manage warehouse tasks. They work closely with the Executive Director and Communications Manager to ensure completion of special projects that support outreach programming. This position, in addition to the Communications Manager, is the public point of contact for the organization and maintains positive relationships with all host site partners, volunteers, parents and students

    This is a full-time position located in Omaha, NE with an annualized salary of $50,000. Responsibilities include but are not limited to:

    Program Planning & Execution

    • Plan in-person outreach programs for students in high school and medical school.There are approximately 50 programs per year occurring nationwide.
    • Recruit qualified students for outreach programs utilizing a customer relations management platform.
    • Communicate effectively with a wide range of stakeholders, including but not limited to program hosts, students and parents, and Perry Initiative staff and volunteers
    • Coordinating closely with the Logistics Specialists to ensure all equipment arrives at all programming sites safely and in a timely manner.
    • Efficiently make travel arrangements for Perry Initiative staff, Fellows and volunteers who are traveling to program sites. This includes price optimizing flight, hotel, and other travel arrangements and tracking expenses against a provided budget.
    • Effectively respond to any customer service feedback or issues in a kind, diplomatic and timely manner.

    Warehouse Logistics

    • Maintain an on-site warehouse for programming equipment and supplies.
    • Coordinate closely with the program hosts to obtain critical logistics information for each program.
    • Control inventory of program consumable & durable goods which includes over 200 items for each program.
    • Manage & maintain the quality functioning of all equipment, including regular inspection of equipment and collaboration with personnel for repairs & improvements
    • Ensure adequate inventory of consumable and durable goods at all times in accordance with budget set by Executive Director.
    • Create, coordinate and communicate a tight shipping schedule of program supplies and equipment. This includes regular interfacing with shipping carriers to ensure on-time delivery and turn-around at program sites nationwide and regularly track shipment locations to ensure on-time shipping and receiving timelines.
    • Continuously improve warehousing processes, including but not limited to inventorying, sourcing consumables, and volunteer coordination.
    • Maintain and update standard operational procedures related to warehousing and shipping in sufficient detail to facilitate training and supervision of Perry Initiative Volunteers

    Part-Time Staff & Volunteer Supervision

    • Supervise part-time and volunteer staff in packing, receiving, and re-inventorying program supplies and when necessary, perform these tasks independently.
    • Train and directly supervise volunteers and part-time staff for warehouse tasks. This involves leading regular meetings with these direct reports.
    • Assist in recruiting, evaluating, and selecting Perry Initiative Fellows, who are individuals specifically trained to staff on-site programs.
    • Collaborate with the Executive Director to coordinate annual on-site 2-day Fellow training conducted in Omaha, NE each August.
    • Recruit quality and reliable volunteers and part-time warehouse staff.
    • Create and maintain an atmosphere of collegiality and appreciation; plan and execute periodic acknowledgement events for volunteers
    • Collect program data and provide reports, as requested, to the Executive Director

    Other

    • Review and update Standard Operating Procedures (SOPs) for all Logistics Coordinator responsibilities and those of direct reports.
    • As requested, work with the Executive Director to evaluate program effectiveness and monitor student outcomes.
    • Occasionally staff a program and assist Fellows at program site. This will involve completing training on Perry Initiative program curriculum.
    • As requested, represent the organization at national conferences, trade shows, and other public events.

    Qualifications (Required):

    • Received a bachelor’s degree or higher.
    • Excellent communication and demonstrated organizational skills with attention to detail.
    • Ability to effectively manage multiple projects/tasks at once.
    • Live within commuting distance of Omaha warehouse.
    • Valid Driver’s License & willingness to operate a rental car.

    Qualifications (Preferred):

    • Experience working with and supervising volunteer staff.
    • Experience with inventory management.
    • Experience with customer relations management (CRM) software, e.g., SalesForce, Zoho
    • Open to traveling 3-4x annually to program sites and/or conferences.
    • Received degree above bachelor’s in engineering, education, communication, non-profit management, project management and/or STEM field of study.

    Physical Demands: requires sitting, standing, walking, squatting, bending, waist twisting, kneeling, climbing stairs/ladders, reaching up to shoulder height, lifting/pushing/pulling over 60 lbs., carrying up to 30 lbs., fine finger manipulation, simple/power grasp, repetitive hand/arm use, exposure to latex, ability to differentiate color, verbal communication.

    The Perry Initiative offers reimbursement for health expenses through a Qualified Small Employer Health Reimbursement Arrangement (QSEHRA) up to $4,200 annually ($350/month). We also offer a 401k Retirement Plan which provides one-to-one employer matching up to 4% of your salary. PTO & Sick Leave available, not including federal holidays.
