The Finance and Administrative Associate is responsible for Ramapo for Children’s day-to-day administrative financial operations. This position will work collaboratively with financial and program staff to ensure accurate and timely management of financial activities as they relate to customer invoices and payments, operational expenses, credit cards and records.

Responsibilities:
- Deposits, Accounts Receivable (AR), and Billing: Prepare/code deposits for entry and deposit checks. Generate, issue, and track invoices related to earned revenue stream (program fees, etc.). Manage follow-up and collections. Maintain financial records in program management systems and reconcile against accounting system on a regular basis.
- Accounts Payable (AP): Process vendor invoices for timely payment, ensure proper internal routing, coding, set up payments, expense reports. Manage vendors with automatic payments.
- Manage company credit cards: distribute statements, collect coding and receipts. Upload transactions in accounting system.
- Identify cost reduction opportunities, and assist in vendor negotiations.
- Assist business manager with annual 1099/1096 submission.
- Assist staffing director with the onboarding of up to 300 seasonal staff, including providing reference checks, data entry, and managing onboarding paperwork.
- Act as back-up for office administrators by providing general administrative support such as answering phones, scheduling appointments, and managing correspondences as needed.
- Collaborate with program directors and other administrative staff to ensure efficient and effective office operations.
- Provide administrative support to the CFO and Business Manager
- Other duties as assigned.
Qualifications:
- Minimum of 2-3 years of professional experience in financial administrative management, preferably within a non-profit environment.
- Strong working knowledge of QuickBooks Online and Bill.com. Proficiency in Microsoft Excel, Google Docs, and Zoom.
- Exceptional problem-solving and organizational skills; Attention to detail and accuracy;
- Proven ability to handle confidential information with discretion; Strong written and verbal communication skills.
