Program and Development Coordinator

Summary

The Program and Development Coordinator supports the implementation of TCV’s programs and fundraising efforts. Reporting to the Executive Director, the Program and Development Coordinator supports all daily food distribution programs and fundraising efforts. Program responsibilities include serving as the first point of contact for new client intake, and the organizing and preparation required for our volunteers to run food distributions. Development responsibilities include updating and maintaining donor records and supporting fundraising campaigns and events. This role requires compassionate and respectful communication with clients, volunteers, and staff.

Essential Duties and Responsibilities

Program Support (45%)

• Work with Warehouse Driver and Community Programs Manager to set up the Marketplace and Mobile Pantry equipment each morning, ensuring that volunteers can work once they arrive.
• Serve as the primary point of contact for new client intake and troubleshoot client card issues.
• Support the maintenance of client records as needed.
• Support marketing and communications efforts including designing signage and flyers, and social media content.
• Understand major responsibilities of all TCV operations and be able to support the other roles including Mobile Pantry, Warehouse and Volunteer teams.
• Support or coordinate aspects of special events like holiday distributions, volunteer events, etc.
• Perform other duties as assigned.

Development Support (40%)

• Manage donor records, entering donations into the donor database and sending thank you letters.
• Creating fundraising materials such as designing annual reports, mailings, digital campaigns, etc.
• Play a key coordination role in fundraising events like open houses or donor appreciation events.
• Play a key role in donor appreciation, including making phone calls or writing handwritten notes to thank donors.

Administrative and Client Support (15%)

• Handling phone, email, and website inquiries from the public about TCV programs.
• Manage resource referral information to support clients with their other needs. Build a stronger resource referral program.
• Coordinate program and office supply use and ordering.

Knowledge Skills and Abilities

Requirements

• Minimum of 2 years’ experience working in a fast-paced environment, demonstrating excellent problem-solving skills and multi-tasking ability.
• Minimum of 2 years’ experience providing excellent customer service to diverse, low-income communities in a public-facing position.
• Excellent verbal and written communication skills. Comfortable with presentations and public speaking
• Strong organizational and project management skills with exceptional attention to detail
• Intermediate to advanced level of proficiency with CRM, email, and MS Office (Outlook, Word, Excel & PowerPoint), and design programs such as Canva
• Ability to prioritize and handle multiple assignments in a fast-paced environment
• Ability to occasionally attend functions/activities outside normal hours
• Valid California driver’s license with insurable driving record. Vehicle ownership not required.

Preferred Qualifications

• Multi-lingual, Spanish or Farsi/Dari preferred
• Passion for food justice and/or lived experience of challenges related to food insecurity or hunger.
• Knowledge of basic client intake and social services case management fundamentals
• Experience in client-facing social services nonprofit organization. Food Banking experience a plus.
• Strong, in-depth knowledge of and community connections in the Tri-Cities (Fremont, Union City, Newark)

Physical Requirements

This position is in an open warehouse environment and an office setting which requires working for a part of the shift exposed to seasonal weather temperatures. Able to perform the following duties with or without accommodation:

• Participate or assist in physical tasks and activities which include but are not limited to bending, reaching, lifting, pushing, pulling, kneeling, squatting, stooping, and reaching above shoulder height to moving product and equipment more than 50 lbs.
• Work with staff in a warehouse environment with temperatures ranging from minus 2 degrees to above 90 degrees.
• Traverse the warehouse floor frequently throughout the day to execute duties
• Stand/sit for duration of scheduled shift
• Able to operate computer, keyboardand telephone equipment for majority of workday shift
• Ability to respond and react quickly to moving vehicles, equipment, and loud noises/sounds typical in a warehouse setting
