    The Grants Manager is a key member of Kids Operating Room USA’s small, dynamic fundraising team. This role supports the organization’s mission by identifying, cultivating, and securing five-, six-, and seven-figure gifts from trusts, foundations, and corporations. The Grants Manager will collaborate across teams to create compelling proposals, manage donor relationships, and contribute to a robust funding pipeline.

    As an experienced fundraising expert, you will be personally responsible for securing new multiyear gifts and managing existing relationships. We are a small team, so looking for a candidate who will be happy to take a hands-on approach to secure and cultivate major giving, while providing strategic leadership.

    This role is part of the Fundraising Team and will report to the Associate Director of Fundraising. You will be expected to communicate frequently with the KidsOR UK Fundraising Team and the Executive Director.

    The work environment is fully remote, U.S.-based with daily and weekly virtual meetings, coordinated with colleagues in the Eastern and Central U.S. time zones, and periodic calls with UK-based team members in GMT.

    Key Tasks and Responsibilities:

    Fundraising

    • Identify and assess funding opportunities aligned with organizational priorities, leveraging knowledge of the aid landscape, databases, and networks.
    • Lead the development and submission of high-quality grant proposals and applications, collaborating with internal teams to align content and financial data with strategic goals.
    • Manage all stages of the application process, including drafting tailored materials, coordinating internal inputs, and ensuring timely submission.
    • Monitor and ensure compliance with funder requirements, including eligibility, due diligence, reporting timelines, and deliverables.
    • Track and report on the progress of awarded grants, maintaining accurate documentation and supporting financial monitoring and claims.
    • Maintain accurate donor and grant records in systems such as Raiser’s Edge NXT.
    • Conduct tailored outreach and stewardship to prospective and current funders, building long-term relationships and a diverse portfolio of supporters.
    • Support cross-functional fundraising initiatives, including cultivation events, donor engagement activities, and collaborative team efforts.

    Data Reporting & Administration

    • Identify and assess funding opportunities aligned with organizational priorities, leveraging knowledge of the aid landscape, databases, and networks.
    • Accurately track deadlines, proposals, reports, and contracts in Raiser’s Edge NXT.
    • Assist in generating reports, updating records, and conducting prospect research.

    Expected Deliverables (Year One)

    • Identify and qualify at least 50 new potential funders.
    • Submit a minimum of 20 grant applications or proposals.
    • Contribute to the team pipeline goal of at least $4 million in identified asks.

    Note: These targets may be adjusted as part of a baseline-setting process in the first year.

    Knowledge and Skills

    • 3–5 years of experience in grant writing, fundraising, development, marketing, or sales.
    • Proven ability to secure five-, six-, or seven-figure grants.
    • Strong experience in proposal development, grant management, and donor stewardship.
    • Proficiency in Microsoft Office (especially Excel and Word).
    • Familiarity with Raiser’s Edge NXT or similar CRM databases.
    • Skilled in researching and assessing funder interests using research databases and online tools.
    • Ability to translate data and impact metrics into persuasive, funder-friendly content.

    Education

    Bachelor’s degree preferred. Equivalent combinations of education and experience will be considered.

    Personal Qualities

    • People-focused with strong interpersonal and communication skills.
    • Highly organized, detail-oriented, and capable of working independently.
    • Able to manage multiple competing priorities and pivot as needed.
    • Comfortable working in a fast-paced environment with a small, high-impact team.
    • Willingness to travel domestically 2–3 times per year for events or meetings (e.g., New York).
    • Must hold a valid passport for annual staff training in Scotland.
