Position Title: Program Support Associate – Center for Transformational Leadership
Reports to: Director for the Center for Transformational Leadership
Department: Center for Transformational Leadership
FLSA: Non-Exempt
Salary Grade: 3
Hours: Full-Time (35 hours/weekly)
Hourly Rate: $24.96 per hour
Location: Hybrid (CT/MA)
Schedule: Occasional evening or Saturday work required for workshops, Conference-sponsored events, and the Annual Meeting
About the role
The Center for Transformational Leadership equips congregations, clergy, lay leaders, and ministry partners for faithful, innovative, and mission driven ministry.
The Program Support Associate provides the administrative, logistical, communications, and hospitality support that helps CTL programs operate successfully. This position supports the Center’s General Church Leadership, Faith Formation, and Diversity, Equity & Inclusion portfolios and works closely with CTL staff, presenters, facilitators, vendors, churches, volunteers, and event participants.
The ideal candidate is highly organized, responsive, detail-oriented, and comfortable moving between administrative work, event details, communications, and digital platforms. This person will be expected to manage multiple priorities, anticipate needs, communicate clearly, and contribute to a welcoming experience for everyone who engages with CTL.
What you will do
Program and administrative support
- Provide day-to-day administrative support to CTL programs, staff, facilitators, presenters, and participants.
- Respond to inquiries from churches, clergy, lay leaders, and individuals seeking resources, training, leadership development, congregational support, or other CTL programs.
- Direct questions and resource requests to the appropriate CTL staff member.
- Maintain accurate participant, enrollment, attendance, contact, income, expense, and payment information.
- Coordinate registration, enrollment, invoicing, accounts receivable, payment tracking, contracts, facilitator payments, and vendor payments for assigned programs.
- Support Communities of Practice, including member and facilitator communications, enrollment, attendance, payments, and records.
- Update constituent contact information and maintain organized electronic and paper files.
- Prepare certificates, designation materials, meeting notes, minutes, reports, rosters, and follow-up communications.
- Coordinate office supplies, printed materials, signage, equipment, and other program resources.
Event coordination
- Support programs and events from initial planning through completion and follow-up.
- Maintain internal and external events calendars.
- Create registration pages, confirmation messages, rosters, check-in materials, participant communications, and post-event surveys.
- Assist with locating and securing event sites and coordinating room setup, food, dietary needs, accessibility, equipment, and supplies.
- Support online events using Zoom and related technology in collaboration with the technology team.
- Coordinate communications with presenters, facilitators, vendors, volunteers, and participants.
- Organize recordings, including trimming, editing, uploading, archiving, and distributing recordings when appropriate.
- Maintain accurate files and attendance information for workshops and events.
- Participate in Conference-sponsored events, including occasional evenings and Saturdays.
Communications and marketing
- Maintain CTL-related website pages and create event pages for programs and workshops.
- Draft and distribute promotional emails, event descriptions, summaries, newsletters, and participant communications.
- Coordinate, design, publish, and archive CTL newsletters in consultation with the Director.
- Create weekly social media content for platforms such as Facebook, LinkedIn, and Instagram.
- Design flyers, certificates, graphics, and other promotional materials.
- Coordinate with Conference communications staff to promote CTL programs and resources through Conference newsletters and other channels.
- Maintain organized archives of marketing materials, newsletters, social media posts, and event communications.
Hospitality and teamwork
- Provide timely, professional, and welcoming support to participants, presenters, clergy, lay leaders, volunteers, and colleagues.
- Help create inclusive and accessible experiences for onsite and online participants.
- Communicate respectfully with people who have different roles, backgrounds, needs, and levels of familiarity with the Conference and CTL.
- Work collaboratively with CTL staff and other Conference departments.
- Identify obstacles early, seek appropriate guidance, and follow through on solutions.
- Perform other related duties as assigned.
Required qualifications
- High school diploma or GED equivalent.
- At least three years of administrative, clerical, program-support, event-support, communications, or related experience.
- Demonstrated ability to manage multiple projects, priorities, and deadlines.
- Strong attention to detail, accuracy, organization, and follow-through.
- Strong writing, editing, communication, and interpersonal skills.
- Experience supporting events, programs, workshops, meetings, and/or learning initiatives.
- Experience creating or coordinating newsletters, email communications, website content, flyers, or social media posts.
- Proficiency with Microsoft Office 365, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
- Comfort using Zoom, including registration, webinars, breakout rooms, and other event features.
- Experience using Canva, Unsplash, or similar graphic-design and content-creation tools.
- Ability to work independently while collaborating effectively with a team.
- Ability to work occasional evenings and Saturdays.
- Ability to travel to in-person meetings and events in Connecticut and Massachusetts.
Preferred qualifications
- Experience with online registration, email marketing, website content management, accounts receivable, or payment tracking.
- Experience using Mailchimp, Constant Contact, WordPress, Eventbrite, Airtable, or similar platforms.
- Experience with StreamYard, Facebook Live, Vimeo, CapCut, or other video and livestreaming tools.
- Experience supporting nonprofit, faith-based, educational, community, or membership organizations.
- Experience working with clergy, congregations, volunteers, presenters, facilitators, or community leaders.
- Familiarity with accessibility practices for onsite events, virtual programs, written communications, and digital content.
- Experience working in a hybrid or geographically distributed organization.
What success looks like
During the first year, the successful candidate will:
- Develop and/or maintain reliable systems for registrations, calendars, communications, payments, records, and event follow-up.
- Provide consistent and responsive support to CTL staff and program partners.
- Produce accurate, timely, and engaging newsletters, website content, emails, and social media.
- Help events run smoothly for presenters and participants, both onsite and online.
- Build effective working relationships across CTL and the broader Conference.
- Demonstrate sound judgment, professionalism, hospitality, and dependable follow-through.

Physical Requirements
- Tasks involve the ability to travel to meetings outside the office, exert moderate physical effort, and may involve some lifting, carrying, pushing and/or pulling of objects and materials up to 20 pounds.
- Tasks may involve extended periods of time at a keyboard or workstation and/or repetitive motion.
- Competence in reaching, bending, twisting, and grasping objects.
- Proficient in motor skills for tasks such as typing and operating equipment as needed.
- Adequate vision for reading and visual tasks.
- Ability to hear and comprehend verbal communication and alarms.
- Tasks may occasionally be performed with exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, or pathogenic substances.
