Reconstructing Judaism seeks a part-time Administrative Assistant for its rabbinical college and movement headquarters. Reporting to the Director of Operations, this outward-facing position facilitates building reception (in-person and telephone), vendor and contractor relations, assists with facilities, meeting setup and preparation, facilitates supply inventory and ordering, sorts mail, and utilizes administrative skills and institutional knowledge to support the life and traffic of the organization. This position also provides administrative support to the Director of Operations who oversees finance, IT and building operations. This role provides entry into our wonderful organization and includes lots of meaningful interaction with our community of students, faculty, and staff.
The ideal candidate is articulate, personable, able to accurately track details and moving parts, and is flexible amidst a diverse array of responsibilities.
This is an “in-person,” part-time role requiring onsite presence at our Wyncote, PA campus three days per week: Tuesday-Thursday.
Position Responsibilities
- Administrative support for the Director of Operations: calendaring, PDF file preparation, formatting and proofreading, creating Doodle polls, data entry and retrieval, assisting as needed with basic finance operations, occasional errands to the post office, supply store, etc. as needed.
- Reception: serving as a primary welcoming presence and the first point of contact upon entry to the building. Responsible for greeting and providing basic information for staff, faculty, students, visitors and guests both in-person and via telephone. Maintaining accurate data for events, visitors, birthdays, holidays, and contact information. Maintaining log for IT issues.
- Vendor relations and facilities support: scheduling, receiving and directing vendors and contractors for our historic property, meeting setup (overseeing room scheduling, arranging rooms, tables, chairs, supplies, snacks and coordinating tech), ensuring functioning audio visual equipment, facilitating supply inventory and fulfillment, making rounds of the building and campus to identify potential safety and maintenance issues.
- Enacting and ensuring compliance with security protocols (including facilitating key fob access/distribution/returns, maintaining vehicle and visitor information), promptly bringing any safety and security concerns to the attention of the Director of Operations and senior management.
- Delivery and mail oversight: receiving and sorting deliveries, mail and packages, assisting other staff with mailing process as needed, ensuring proper operation of mail machine, purchasing additional postage, creating and maintaining staff and student mailboxes.
- Training other staff as needed to serve as backups for reception, including all security protocols.
- Assisting with various projects from other departments with proper supervisor approval.
- Other duties as needed and assigned.

Qualifications
- Administrative assistant/customer service experience.
- Some college education helpful.
- Experience facilitating multiple, concurrent projects and working under deadlines.
- Microsoft Office experience: proficient in Outlook (both calendar and email), Strong MS Word skills, moderate Excel work (candidates will be required to pass appropriate skills tests).
- Adobe Pro experience or attitude to learn.
- Experience editing and proofreading including working with spreadsheets and PDF documents.
- Ease with scheduling and conferencing platforms such as Doodle & Zoom.
- Raiser’s Edge/Financial Edge experience a plus.

Salary:
$22-23 per hour, commensurate with experience.
