    Descrição

Collider is hiring a Community Associate to be the person who makes our space, events, and day-to-day operations feel welcoming, well-run, and worth coming back to. You'll be the first face people see when they walk in, the person who makes sure the coffee is good and the wifi works, and the steady operational presence that lets researchers, fellows, and visitors focus on their work.

This role is hospitality-forward and operations-heavy. What we need is someone who genuinely enjoys taking care of people and spaces, and who runs the kind of tight ship that everyone else takes for granted because nothing ever goes wrong.

    What you'll do

    • Run the office day-to-day — front desk, visitor check-in, mail and deliveries, supply ordering, vendor coordination, keeping shared spaces stocked and presentable
    • Host visitors and guests — researchers, fellows, partners, and event attendees should feel welcomed from the moment they arrive
    • Support events and programming — set up and break down for workshops, dinners, talks, and cohort programs; coordinate catering, AV, and logistics; troubleshoot in real time when something goes sideways
    • Own the small things that compound — the snack supply that never runs out, the conference room that's always set up correctly, the printer that actually works, the new hire whose first day feels easy
    • Coordinate with building management, vendors, and contractors on facilities issues, repairs, and improvements
    • Support the broader team with travel booking, expense coordination, scheduling help, and ad-hoc operational projects as they come up
    • Help build the culture of the space — the small touches that make people feel like they're somewhere thoughtful, not just somewhere functional

    What we're looking for

    Required

    • 2+ years of experience in office management, hospitality, events, executive support, or a similar role where taking care of people and spaces was the core of the job.
    • Genuine warmth with people — you actually like hosting, you remember names and details, and visitors leave feeling better than when they arrived.
    • Strong operational instincts: nothing falls through the cracks, supplies don't run out, events don't have surprise problems, and the people around you stop noticing logistics because everything just works.
    • Comfort with the tactical and the unglamorous — running out for last-minute supplies, troubleshooting a broken AV setup ten minutes before a talk, or staying late to reset the space after an event.
    • Handy with IT asks, figuring out why projects don't connect and helping members connect all sorts of devices.
    • Clear communicator: you keep teammates informed, ask questions when you need to, and surface issues early rather than letting them grow.
    • Discretion and good judgment — you'll often be the first to know about visitors, schedules, and sensitive situations, and we need to trust your handling of all of it.

    Nice to have

    • Background in hospitality at a high standard — hotels, restaurants, members' clubs, or similar environments where guest experience was treated as a craft.
    • Prior experience supporting a mission-driven organization, nonprofit, or social impact work.
    • Event planning experience, especially for small-to-medium professional gatherings (dinners, workshops, retreats).
    • Familiarity with tools like Google Workspace, Slack, Notion, Asana, and Airtable.
    • Interest in AI, technology, or research environments — not required, but you'll find the work more rewarding if you're curious about what the people around you do.

    Logistics

    • Location: In person, New York City
    • Schedule: Standard hours with weekly evening events
    • Compensation: $60k to $80k
    • Reports to: Community Manager

Start date: As soon as possible

End date: This is a contract until end of October 2026 but with the possibility to extend. Let's see if we're a good fit for each other!

For the right person, we would also consider part-time, if there is significant overlap with our 9-5 office schedule.
