National Grange of the Order of Patrons of Husbandry (National Grange) is seeking a part-time Executive Operations Assistant to provide trusted administrative and communications support to national leadership. This is a remote position with some travel required (less than 5%). Candidates located within two hours of Spokane, WA, are preferred, to support occasional in-person coordination when needed; however, remote candidates will be considered with the appropriate skills and qualifications.
Who we are: Since the Grange was founded in 1867, members have worked together to support agriculture, rural communities, and families through advocacy, education, and service. The Grange is a community-based national organization that provides members with the opportunity to lead, the opportunity to learn, and the ability to make a difference through community service, grassroots legislative advocacy and educational programs.
The Executive Operations Assistant provides trusted administration and communications support to the national leadership. The Assistant focuses on execution, organization, and production – helping leadership draft and prepare correspondence, produce polished communications materials, support reporting workflows, and maintain operational workflows in a fast-moving nonprofit environment. This position reports directly to the National President.
Responsibilities:
- Provides administrative support to the National President and Department Directors, including research, writing, and general correspondence. Composes correspondence for review and signature of the National President. Prepares minutes, notices, manuals, reports, agendas and correspondence with all supporting documentation.
- Serves as liaison between staff and the National President, and provides follow-up tracking and deadline coordination on various matters related to the day-to-day operations of the National Grange.
- Tracks logistical tasks and deliverables for project owners without assuming ownership of the project.
- Coordinates the quarterly reporting process(es) with State and Unaffiliated Granges.
- Processes payments for the Annual Convention Assessment.
- Supports the annual bonding renewal process.
- With accuracy and reliability, maintains the Grange’s financial and membership records across digital systems, responds to Grange inquiries, and ensures recurring administrative, financial reporting and compliance tasks, such as dues reporting, assessments, and bonding requirements, are completed on schedule.
- Performs data entry and cross-system recordkeeping, and maintains an organized digital filing system across multiple platforms (GrowthZone, Bill.com, shared drives, etc.).
- Researches, gathers information, and drafts materials for leadership review, including polished documents, slide decks, and social media graphics, utilizing brand consistency, visual standards, and style guidance adherence.
- Works responsibly with Artificial Intelligence (AI) tools for research and draft development, without overreliance.
- Utilizes digital communication tools, including social media platforms and audience best practices, email systems, and document design software (Adobe Creative Suite, Canva, etc.), consistent with website content best practices.
- Executes structured digital workflows, including email campaigns and communication distribution.
- Performs video editing and multimedia assembly as requested.
- Responds to stakeholder concerns, including payment and administrative inquiries, with professionalism reflective of the Grange’s voice and values.
- Using knowledge of organizational policies, procedures and operations, provides operational support to leadership within respective approval chains.
- At the request of the National President, may be responsible for planning and coordinating presentations, disseminating information, and organizing company-wide events.
- Performs other related tasks and duties as assigned by the National President.
Qualifications and Skills:
- Associate or bachelor’s degree with at least two (2) years of experience supporting senior leadership or executives in an administrative or operations role; or an equivalent combination of education, experience and/or training.
- Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint). Database experience is preferred.
- Demonstrated time management skills and ability to manage high workloads with accuracy, calm under pressure, discretion, and work independently under direction, juggling multiple competing tasks and demands.
- Experience producing professional documents, slide decks, and social media graphics.
- Ability to learn new software systems quickly, such as AMS platform (GrowthZone), Bill.com, or similar platform for invoicing and financial workflows, email automation tools, shared drives, etc.
- Basic knowledge of intellectual property and copyright principles.
- Demonstrated interpersonal skills to handle sensitive and confidential situations requiring poise, tact and diplomacy.
- Ability to interact and communicate professionally with individuals at all levels of the organization.
- Excellent written communication skills, including drafting correspondence, proofreading and editing with understanding of editorial standards and copy-editing practices.
- Ability to be a self-starter, detail orientated, well organized, and a reliable team player.
- Strong attention to detail with ability to establish priorities and meet deadlines.
- Nonprofit or membership-based organization experience preferred.
Salary & Benefits: Part-Time, Remote, 20 hours per week
$22-$26/hour depending on experience
$115 monthly home office stipend with Company-provided laptop and scanner
1 hour paid leave (sick or personal leave) for every 20 hours worked, accrued starting day one
