    About the Role

    Reporting to the Community Agency Relations Manager, the Community Agency Relations Coordinator will be a member of the team responsible for maintaining and building HandsOn Bay Area’s relationships with our large network of schools, parks, and nonprofit partners who are seeking volunteer support, throughout the Bay Area and beyond. In collaboration with HandsOn Bay Area’s Corporate Accounts team they will represent outreach efforts to create high quality volunteer projects that engage the employees of our corporate partners in meeting the needs of the community. You will provide administrative assistance to keep our community facing programs running. You will be responsible for volunteer project development and management, acting as an event coordinator/volunteer manager for our corporate and programmatic volunteer projects. The position assists in ensuring that HandsOn Bay Area provides volunteers with a high-quality experience, which fuels further action. Comfort facilitating both in-person and virtual events is key.

    Position Responsibilities

    Nonprofit / Community-Based Organization Partner Relationships

    • Act as a Community Agency Relations Team representative for a portfolio of agencies driving creative efforts to match community needs with our project offerings.
    • Maintain existing & develop new relationships with HandsOn Bay Area’s nonprofit partners.
    • Recognize opportunities to deepen relationships with existing partners.
    • Identify unmet community needs and work with the rest of HandsOn Bay Area’s Programs team to create service projects that meet these needs.
    • Increase capacity of new and existing partners to accept volunteers.
      • Streamline volunteer project waiver procedures.
      • Meet privacy and security standards (particularly in online engagements).
      • Establish cultural context settings both in-person and virtually.
    • Provide guidance to fellow staff members as they work with community partners on volunteer projects.
    • Collaborate with the Programs team, at large, to develop new, innovative volunteer projects that meet relevant needs in the community.
    • Manage beneficiary identification for donations collected by HandsOn Bay Area, through corporate programs, as well as Project-in-a-Box.

    Programs Team Support

    • Assist with Salesforce maintenance; audit data entries of Programs team weekly.
    • Oversee the info@handsonbayarea.org email account, responding to inquiries related to HandsOn Bay Area programs & services.
    • Coordinate all CommUNITY Calendar opportunities, volunteer recruitment efforts, and general customer service needs.
    • Provide support for our social media content across multiple platforms.

    Corporate Partnership Priorities

    • Represent the full range of community projects available to meet corporate volunteer event requests through internal collaboration with our Corporate Accounts Team.
    • Understand our corporate partner’s social responsibility priorities for engaging their employees as volunteers.
    • Conduct strategic outreach to our network of nonprofits partners whose goals and needs align with corporate partners priorities.
    • Create clear, compelling project descriptions for proposed service opportunities for corporate partners’ consideration.
    • Keep nonprofit partners informed of project status and changes, communicating proactively with a high level of customer service.
    • Strategically lead projects to support the piloting, evaluation, and continuous improvement of our projects and volunteer experiences.
    • Support assigned staff project leaders with stewardship tasks, including communications, creative development of activities, and continued attention to their partners’ needs.
    • Ensure HandsOn team provides consistent communication with nonprofit partners before and after project completion to ensure needs are met and appropriate follow-up and after-care is provided to strengthen long-term relationships.

    Administrative/Data Responsibilities

    • Manage and maintain nonprofit, schools and parks partner data within Salesforce.
    • Develop and generate reports for HandsOn Bay Area sales team and Directors as requested.

    Volunteer Project Development

    • Coordinate and/or conduct site visits with nonprofit partners to scope volunteer activities for virtual and in-person projects (e.g., career readiness assistance, gardening).
    • Research, organize, and prepare plans to make the volunteer project a success.
    • Communicate professionally with corporate clients about the details of the events.

    Day of Volunteer Project Management

    • Ensure that the project experience is productive, safe, and fun for the volunteers.
    • Welcome, direct, and instruct/manage large groups of volunteers.
    • Communicate clearly with volunteers to articulate goals of the project.
    • Troubleshoot and resolve any problems that might arise.
    • Coordinate project wrap-up and clean-up as the project is ending.
    • Ensure that the project goals are met.
    • Occasionally work in our warehouse to organize and package supplies for volunteer projects and assist with supply delivery/retrieval.

    Requirements

    • Strong customer service skills; good interpersonal and communication skills, written & verbal.
    • Interest in using Salesforce for data tracking, maintenance, and report building; prior experience a plus.
    • Familiarity with Slack and Google Workspace (Gmail, Calendar, Drive, Sheets, Docs, and Slides).
    • Detail oriented. Able to multi-task with flexibility to succeed in a fast-paced environment.
    • Ability to organize and plan virtual and in-person volunteer projects.
    • Comfortable speaking in front of and facilitating groups (from 10 to 100+), both virtually and in-person. Enthusiasm to take on leadership of large-scale projects (100+ volunteers), a plus.
    • Ability to provide positive supervision and mentorship to volunteers during projects.
    • Experience with creative program development and process improvements, a plus.
    • Valid California driver’s license for travel to project sites throughout the Bay Area.
    • Experience with gardening, painting, or construction, a plus (we can provide training).
    • Ability to lift and carry event supplies and load them into our fleet.
    • Minimum two-year commitment to the role.
