This role is central to managing the full lifecycle of grants - from pre-award through post-award - for both direct grants and sub-grants. Importantly, this includes overseeing compliance, reporting, tracking expenditures, and building capacity among sub-grantee partners. This position will report directly to the VP of Programs & Innovation and works closely with the rest of the WIN team for program implementation.

The ideal candidate is experienced in nonprofit grants management, knowledgeable about federal and private funder requirements, and is comfortable working with a diverse set of internal and external stakeholders.

    Grant Oversight and Compliance

    • Manage all phases of grant administration: proposal support, budget development, award review, implementation, reporting, and closeout.
    • Serve as the primary point of contact for funders regarding reporting and compliance.
    • Ensure alignment of sub-grantee inputs with donor and internal requirements.
    • Track deliverables and milestones in collaboration with the other team members.
    • Lead internal and external coordination for grant reporting, ensuring timely and accurate submissions.
    • Maintain organized grant and partnership records and documentation.
    • Provide strategic oversight to ensure proposals and active grants meet funder requirements.
    • Identify and mitigate risks in the proposal and grant management process.
    • Collaborate with legal and compliance experts to resolve regulatory issues.
    • Ensure compliance with federal, state, private funder regulations and internal policies.
    • Maintain a grants calendar with key deadlines ensuring all relevant stakeholders have access and are aware of upcoming deadlines/milestones.
    • Monitor regulatory changes and ensure organizational compliance with federal, state, and private funder policies.
    • Develop and maintain internal grants management policies and procedures.

    Sub-Grantee Oversight

    • Oversee onboarding, contracting, and reporting schedules for sub-grantees in collaboration with the WIN program team.
    • Support financial communications and reporting with implementing partners and contractors in collaboration with the finance team.
    • Assist in budget development and review, in coordination with the WIN Senior Leadership.
    • Provide technical assistance and training to sub-grantees on financial and programmatic reporting, compliance, and documentation standards.
    • Track and review sub-grantee budgets, expense reports, and ensure timely disbursement of funds.

    Financial Management & Reporting

    • Collaborate with Finance and Program teams to ensure accurate budgeting, forecasting, and reconciliation.
    • Supervise administrative support for invoice processing and documentation.
    • Monitor monthly expenditures and flag budget variances.
    • Prepare and submit financial and narrative reports to funders.
    • Support audit preparation and funder monitoring visits.
    • Assist with additional grant, project management, and administrative related duties, as needed.
