Job Title: Volunteer Coordinator

Summary:
The Volunteer Coordinator collaborates with the food service, residence, and executive teams to develop and implement strategies for volunteer and community engagement at CHiPS. They oversee volunteer recruitment (both individual and group), training, and appreciation. This role reports to the Director of Development, and works cross collaboratively with all levels of staff, volunteers, and donors at CHiPS.
Responsibilities
- Lead the recruitment of individual and group volunteers, including interns.
- Manage the onboarding process: respond to inquiries, conduct orientations, and facilitate access to scheduling platforms.
- Develop and implement training programs tailored to various volunteer roles (e.g., food service, reception).
- Coordinate volunteer schedules across CHiPS’ operational departments, ensuring adequate coverage.
- Serve as the primary on-site contact for volunteers: manage check-ins, track attendance, and help manage assignments based on daily needs.
- Adjust schedules in real-time to address attendance variations and program requirements.
- Handle communications with volunteers: send confirmations, reminders, and follow-ups.
- Develop and implement volunteer appreciation events and initiatives to recognize contributions.
- Build relationships with returning volunteers, encouraging ongoing engagement and skill development.
Administrative Support & Data Management
- Maintain professionalism in interactions with staff, volunteers, and community members.
- Participate in site visits by funders and community organizations, representing the volunteer program.
- Support the maintenance of accurate records for reporting and organizational needs.
- Maintain and update the Golden volunteer management platform: create shifts, manage schedules, and track attendance.
- Ensure synchronization of volunteer data with Salesforce for accurate reporting and program evaluation.
- Collaborate with the Salesforce administrator and consultants to ensure data integrity and accessibility.
Program Development & Community Engagement and Partnerships
- Work closely with the Director of Food Services and the Food Service and Pantry Manager to assess and fulfill volunteer needs.
- Identify and develop new volunteer roles to support both programmatic and administrative functions.
- Provide on-site orientation and guidance to group volunteers, ensuring a positive experience.
- Establish and maintain relationships with community organizations, schools, businesses, and houses of worship to promote volunteerism and in-kind donations.
- Coordinate with partners on scheduling, high-need items, and delivery logistics for donations.
- Maintain accurate records of community engagement activities, historical data, and in-kind donations.
- Manage volunteers to enter in-kind donation information.
Qualifications:
- Bachelor's Degree preferred
- At least 2 years of experience in volunteering or managing volunteers and/or managing
outreach and community partnership building.
- Self-starter with strong commitment to social justice, a strong work ethic and a flexible work style in a fast-paced environment
- Thorough, organized, detail-oriented individual with a keen ability to prioritize, manage towards goals, and work under tight timelines
- Excellent computer skills with proficiency in a variety of programs including MS Suite, Google Suite, Mailchimp, Canva, and Salesforce
- Excellent written, editing and verbal communication skills with the ability to present information clearly to internal and external audiences
- A team player with excellent interpersonal skills
- Ability to maintain professionalism under pressure
Physical Requirements:

- Ability to travel to different parts of NYC metro area for food service related distributions or trainings

CHIPS offers a competitive salary commensurate of experience. The salary range for this opportunity is $40,000 to $50,000.
