    Executive Assistant (Part-Time, Hybrid)

    Who we are:

    The Sidewalk Project is an arts + harm reduction organization that exists to create wellness for those who live outdoors. We provide street outreach multiple times a week,

    including giving out harm reduction supplies, performing peer-based wound care, assisting participants in navigating various systems such as hospitals, housing, and medically assisted treatment, and working towards creating and upholding wellness for our participants. These strategies support our community-based, failure-free, non-linear approach to harm reduction.

    Overview:

    We seek a grounded and analytical individual to join the Sidewalk team as Executive Assistant. In this role, you will support two executive leaders in their work as the administrators of a rapidly growing grassroots harm reduction nonprofit.

    Responsibilities:

    • Planning a balanced schedule and tracking and communicating a timeline of action items to support daily time management for two busy executive leaders (CEO and COO)
    • Providing sophisticated and extensive diary management, travel logistics, and email management as a thought partner to the Executive Director
    • Organizing and maintaining critical internal data including detailed contact rosters of partner organizations, media members, decision makers, etc.
    • Proactively coordinating and planning for in-person events, virtual meetings, board meetings, and training and team-building experiences; this includes preparing and distributing agendas and materials, attending meetings, taking notes/minutes, attendee management, room set-up and issue resolution, managing vendors, securing quotes, tracking deliverables, tracking attendance, and ensuring each meeting runs smoothly
    • Gaining familiarity with organizational practices and programs, including review of grant agreements / evaluation plans and ad hoc participation in program activities, to
    • Understanding the organization’s goals, practices, philosophy, and reporting
    • Contributing to collaborative innovations in data procurement, management, and reporting; and, supporting executives, grants manager, and project evaluation team in preparing project evaluation plans and reports, including the annual report
    • Receiving (or proactively procuring) and logging expense receipts, vendor invoices, and staff hours
    • Maintaining office schedule (cleaning crew, repairs/construction, program classes and events)
    • Upholding office management policies and developing, proposing, and collaboratively implementing strategies for improved office and organizational workflow

    Qualifications:

    • Understanding and supporting The Sidewalk Project’s mission and goals, including care first/jails never and enfranchisement, i.e., dignified social and economic rights for marginalized, criminalized populations
    • Minimum two years data management experience
    • Able to receive direction, plan activities, and execute them remotely and in-person
    • Practiced and proven diplomatic communication skills
    • Lived or living experience preferred
    • Able to work collaboratively with our team
    • Able to work independently and interactively during business days/hours
    • Able to attend mandatory training events in downtown L.A.
    • Preferred experience in liberatory harm reduction and/or social justice sector

    The ideal candidate for this role combines a strong attention to detail with excellent organizational skills. In this role you will be at the heart of an ambitious advocacy and direct service organization committed to advancing the empowerment of unhoused people, people who use drugs, and sex workers, with a bold goal to gain a seat at the table, bring participants to the table, and build lived experience leadership at the highest levels.

    Compensation: $23/hour; benefits package includes paid holidays, vacation, personal, sick days

    Time commitment: 20 hrs/week, with the intent to grow this position to full time

    Hours: Monday-Friday business hours, flexible/responsive

    COVID-19 Vaccination Requirements: Effective August 9, 2021, the State Health Officer has mandated that all workers, paid or unpaid, in homeless services organizations must provide proof of vaccination or doctor’s note. If eligible for a booster shot, proof of booster is also required. If not fully vaccinated, weekly COVID-19 testing is necessary depending on the program.
