    Title: Project Manager (Youth & Family Collective)

    Status: Full Time/Non-exempt

    Reports to: Associate Director, Youth & Family Collective

    THE POSITION

    Under the direction of the Associate Director of the Youth & Family Collective (YFC) Department, the Project Manager supports the day-to-day operations of multiple collaborative projects. This includes coordinating project implementation in alignment with grant and organizational requirements, tracking progress toward deliverables, and providing day-to-day supervision and support to the YFC Project Coordinator.

    The Project Manager serves as a liaison between YFC leadership, community partners, and internal PRO staff to ensure partners receive clear guidance, responsive technical assistance, and effective administrative support throughout project implementation.

    All duties must be performed in accordance with PRO Youth & Families policies and procedures, as well as applicable funding and grant requirements.

    This role requires a service-oriented and collaborative mindset, strong organizational and problem-solving skills, and the ability to translate complex project requirements into partner friendly tools, timelines, and communications. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities while supporting continuous quality improvement and consistency across projects, systems, and documentation.

    KEY RESPONSIBILITIES

    Project Implementation & Coordination

    • Support the implementation of multiple YFC projects by tracking timelines, deliverables, progress, and partner needs.
    • Maintain accurate and organized project documentation, files, tools, and trackers in alignment with department and organizational standards.
    • Monitor project performance and elevate risks or concerns when projects are not on track to meet goals.
    • Support the Associate Director in refining partner-facing resources, project plans, and data collection processes in collaboration with Evaluation and Monitoring staff.
    • Assist with coordinating internal and external project-related meetings, calendars, trainings, and communications.

    Partner Support & Technical Assistance

    • Provide timely, high-quality technical assistance to community partners and relevant stakeholders throughout project implementation.
    • Communicate project guidelines, eligibility requirements, timelines, and deadlines clearly and consistently.
    • Gather and document partner feedback to inform improvements to workflows, tools, and project design.
    • Coordinate partner documentation collection and support compliance with grant and administrative requirements.

    Administrative Systems & Compliance

    • Support contract and payment processes, and documentation completeness.
    • Assist in developing and maintaining spreadsheets, tracking tools, and reporting documents related to project activities and outcomes.
    • Identify administrative barriers and recommend improvements to enhance clarity, accessibility, and efficiency for partners and internal staff.

    Supervision & Team Support

    • Provide day-to-day oversight, guidance, and support to the YFC Project Coordinator to promote effective project operations.
    • Support onboarding, training, workflow organization, and accountability systems for the Project Coordinator.
    • Contribute to a collaborative team environment grounded in professionalism, transparency, growth, and service.

    Communication, Reporting & Collaboration

    • Escalate urgent project issues and potential risks to the Associate Director in a timely manner.
    • Support preparation of internal summaries and documentation to assist leadership with project monitoring and decision-making.
    • Collaborate with PRO and YFC staff and departments as needed to support project execution.
    • Attend meetings, trainings, and conferences relevant to the role.
    • Perform other duties as assigned, consistent with the scope and level of the position.

    Supervisory Responsibility

    • Direct supervision of the YFC Project Coordinator.
    • Coordination with community partners and third-party vendors, as delegated by YFC leadership.

    QUALIFICATIONS

    Knowledge of:

    • Common challenges faced by community-based organizations.
    • Positive Youth Development principles and practices.
    • Issues impacting youth development.
    • Collective impact and collaborative project models.
    • Grant-funded project implementation, documentation, and reporting requirements.
    • Partner-friendly data collection systems and tools.

    Skills & Abilities:

    • Excellent written and verbal communication skills, with the ability to distill complex information for diverse audiences.
    • Strong judgment, professionalism, tact, and diplomacy.
    • Ability to manage multiple projects and competing priorities while meeting deadlines.
    • Ability to analyze challenges and implement solutions within established policies and procedures.
    • Excellent group facilitation skills for partner-facing meetings and learning communities (virtual and in-person).
    • Self-directed, with the ability to set priorities, establish goals, and proactively seek resources.
    • Ability to support partners and staff through a collaborative, service-oriented approach.
    • Ability to travel regionally to meetings and events, with or without reasonable accommodation.

    PREFERRED EXPERIENCE & EDUCATION

    • Bachelor’s degree from an accredited college or university.
    • At least three (3) years of experience coordinating or managing collaborative projects in a nonprofit, public agency, or community-based setting.
    • Prior supervisory or team-lead experience preferred.
    • Experience providing partner-facing technical assistance strongly preferred.

    OTHER REQUIREMENTS

    • Capable of providing Employment Eligibility Verification.
    • Thorough knowledge of general office software, particularly Microsoft Office Suite.
    • Complete and pass a background screening.
    • Possess a Valid California Driver's license and evidence of insurance coverage.
    • Weekly regional travel required.

    • Occasionally the employee will be required to perform work out of the office or other facilities.
    • This is sedentary work in an office setting. While performing the duties of this job, the employee is frequently required to stand, sit, walk, stoop, talk, hear, reach above and below shoulders; use hand and finger dexterity, keyboarding and making and receiving telephone calls.
    • The employee may be required to lift and or carry up to 25 lbs.
    • The employee frequently is required to use hands and fingers to handle or feel and reach with hands and arms. The employee is occasionally required to ·stand and walk. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

    SALARY RANGE

    • $30-$35 per hour

    Each employee has unique benefits needs. PRO Youth and Families, Inc. (PRO) offers a variety of benefit programs designed to protect the needs common to all employees and options to meet individual needs, which may change as family and work situations change.

    PRO employees are eligible to participate in the PRO health programs if they are regularly scheduled to work at least 30 hours per week.

    New employees are eligible to enroll for coverage beginning the first day of official employment (“date of hire”).
