Role Overview:
The Manager of Operations is a critical leadership role responsible for overseeing day-to-day operations, communications, human resources, and financial management. Working closely with the Executive Director, this individual will optimize organizational processes, drive efficiency, and ensure the seamless execution of all foundation activities.
Key Responsibilities:
- Day-to-day Operations Management
- Daily Oversight: Manage the day-to-day operations of programs and offices, ensuring that all sessions, activities, and events run smoothly across multiple institutions.
- Problem Solving: Proactively anticipate operational bottlenecks and implement swift, effective solutions.
- Coordination: Act as the primary nexus for communication and coordination across diverse functional teams.
- Systems & Process Design
- Workflow Optimization: Design and implement policies and procedures to enhance productivity and service delivery.
- Data-Driven Improvement: Analyze organizational metrics to identify gaps and implement data-backed operational improvements.
- Integration: Collaborate with program teams to ensure seamless operational support for on-ground delivery.
- HR & People Operations
- Lifecycle Management: Lead recruitment, onboarding, performance management, and employee relations.
- Team Wellness: Identify organizational stress points and create structures that prevent burnout and reduce overload.
- Culture: Implement HR policies that reflect the foundation’s core values and mission.
- Finance & Compliance Coordination
- Financial Discipline: Coordinate with finance consultants to ensure timely payments, reimbursements, and adherence to expense approval workflows.
- Grant Support: Assist in preparing budgets for funding proposals and grant applications.
- Audit Readiness: Maintain rigorous documentation for compliance, audits, and financial controls.
- Vendor & Partnership Management
- Strategic Partnerships: Manage relationships with external vendors (materials, venues, services) and consultants.
- Quality Control: Ensure all external services meet timelines, quality standards, and cost-effectiveness goals.
- Documentation & Organizational Systems
- Record Keeping: Maintain meticulous and organized records of all Contracts, MoUs, Program Documents, and Internal Systems.
- Knowledge Management: Build and maintain a central repository of information (e.g., Google Drive, Notion, etc.) to ensure information is accessible and secure.
- Sustainability: Focus on strengthening systems to reduce dependency on individuals, ensuring institutional continuity and scalability.
Required Qualifications & Skillsets:
- Technical: Proficiency in G-Suite, Microsoft Office (advanced Excel/Pivot tables), and data analytics.
- Communication: Familiarity with tools like Canva and MailChimp.
- Languages: Fluency in English and Hindi is required; knowledge of Marathi is a plus.
- Education: Bachelor’s or Master’s degree in Business Administration (MBA), Social Sciences, or Social Work.
- Experience: 5+ years of professional experience in operations, management, or communications—preferably within the non-profit sector.
