Program Assistant

Position Summary

We are seeking a friendly and professional Program Assistant to serve as the first point of contact for our organization. This role is essential in creating a positive first impression for clients and visitors while providing comprehensive administrative support to our team. Guided by Legacy LA’s mission, the Program Assistant will be highly service-oriented, organized, flexible, efficient, and amicable, with attention to detail, prioritization, and integrity.

Key Responsibilities

• Greet clients warmly and create a welcoming atmosphere for all visitors
• Manage incoming calls and email correspondence as the primary point of contact
• Build rapport with new clients and guide them through initial interactions and onboarding process
• Liaison between youth and program staff.
• Support Office Manager with administrative projects and daily operations
• Collaborate with Operations team on various assignments as organization needs arise
• Coordinate multiple priorities while maintaining accuracy and attention to detail
• Maintain organized front desk area and professional office environment
• Schedule appointments and manage calendar systems
• Handle mail distribution and package logistics

Required Qualifications

• High School Diploma or GED (Bachelor's degree preferred)
• Fluency in English and Spanish required
• Demonstrated customer service background
• Strong communication abilities across phone, email, and in-person interactions
• Proven multitasking capabilities in dynamic work environments
• Reliable work ethic with consistent attendance
• Collaborative mindset with flexibility to support various departments
