    Job Title: Events Coordinator

    Location: Hunter College, New York, NY

    Reports To: Director of Special Events and Operations

    Position Overview:

    Hunter College is seeking 2 enthusiastic Events Coordinators to join the Office of Special Events. This role will provide vital support to the Special Events department in planning and executing successful school-wide events. This individual will be involved in coordinating event logistics, assisting with alumni communications, and ensuring the smooth operation of event preparations. The ideal candidate will be detail-oriented, proactive, and possess strong organizational and communication skills.

    Key Responsibilities:

    Event Logistics Support:

    • Support the Office of Special Events team in all aspects of event logistics, including engagement strategy, promotion, coordination, and on-site execution.
    • Assist in planning, preparing for, and executing special events for the Office of the President and Institutional Advancement, focusing on donor and alumni engagement.
    • Coordinate logistical and program planning for board meetings, seminars, conferences, and special events.
    • Ensure all needs of donors and alumni are met during events, including greeting guests, escorting to meetings, and facilitating a comfortable visit.

    Event Communication:

    • Organize correspondence, accounts, contracts, and billing related to events.
    • Draft content for event invitations, newsletters, and other communications.
    • Help with event-specific emails, including RSVP confirmations, reminders, and post-event follow-ups.
    • Maintain an up-to-date calendar of events and assist in tracking responses and engagement.
    • Represents unit to internal and external organizations and vendors, handling many inquiries independently.

    Data Entry & Alumni Management:

    • Coordinate invitations, support distribution and RSVP lists, and handle ticket arrangements using Raiser’s Edge database and NetCommunity.
    • Update and maintain alumni contact information in Raiser's Edge or similar database platforms.
    • Track event attendance. Help ensure accurate and timely event data entry, including RSVP lists and contact updates.
    • Assist in managing inquiries related to events and services.

    Administrative Support:

    • Collect data to evaluate event success and report outcomes to management.
    • Perform administrative duties such as filing, photocopying, and coordinating event setup requests.

    Qualifications:

    • Bachelor’s degree required and a minimum of 1-3 years’ experience in event planning, hospitality and/or fundraising. Experience in higher education is preferred.
    • Previous experience with Raiser’s Edge or similar constituent databases preferred but not required.
    • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
    • Strong interpersonal and communication skills, with the ability to interact effectively with diverse stakeholders.
    • Ability to work both independently and collaboratively in a team environment.

    Working Conditions:

    • Full-time position, typically Monday through Friday.
    • Standard office environment with occasional morning, evening, or weekend events.

    Compensation and Benefits:

    The salary for this position is $65,000.
