Position Overview
A well-established non-profit organization is seeking a seasoned Personal/Executive Assistant with a strong record of achievement to provide high-level executive and personal support to the Chief Executive Officer. This role provides visibility into the organization’s operations and involves regular interaction with leadership, staff, external partners, and other stakeholders.
In this capacity, the Personal/Executive Assistant will serve as a trusted partner to the CEO, managing a broad range of professional and personal responsibilities. Core duties include maintaining a highly dynamic calendar; managing incoming and outgoing correspondence; arranging meetings and conference calls; coordinating complex domestic and international travel and accommodations; and supporting the CEO on strategic projects and priority initiatives. The role will also provide day-to-day personal assistance, including coordinating appointments, reservations, personal travel and logistics, household and service providers, errands, and other personal administrative matters as needed.
The successful candidate will be highly organized, resourceful, discreet, and comfortable anticipating needs and solving problems independently. This role requires exceptional situational awareness and judgment, including knowing when to step forward and when to remain unobtrusively in the background. The Personal/Executive Assistant must be able to move seamlessly between professional and personal matters while maintaining confidentiality, professionalism, and discretion in a fast-paced, high-trust environment.
Qualifications & Skills
- Bachelor’s degree from an accredited university (required)
- Minimum of three years of professional experience in an executive and/or personal support role
- Advanced proficiency in Google Workspace tools, including Google Docs, Sheets, Slides, Gmail, and Google Calendar
- Outstanding written and verbal communication skills, with a professional and polished presence
- Strong analytical, research, and problem-solving abilities
- Proven organizational skills, including the ability to prioritize, multitask, and meet deadlines in a fast-paced environment
- Highly resourceful, proactive, and able to anticipate needs and take ownership of tasks through completion
- Comfortable handling both professional and personal matters with discretion, sound judgment, and appropriate boundaries
- Exceptional situational awareness and the ability to adapt one's level of presence and engagement to the circumstances
- Ability to approach challenges with a positive, solutions-focused mindset and maintain professionalism under pressure
- Adept at managing sensitive and confidential information with exceptional discretion
