Overview:
The Operations Manager will play an important role in shaping SAAFON's next chapter by supporting the organization's finance and administration, human resources, and event logistics functions.
The Operations Manager will work in concert with SAAFON's leadership team to ensure smooth, efficient, and well-coordinated operations, from day-to-day bookkeeping and budget tracking to event planning, that support both immediate needs and long-term organizational goals. This part-time role will focus on strengthening internal systems and processes in alignment with SAAFON's continued commitment to supporting our farmer-members and building organizational capacity.
This position requires a leader who has a passion for operations and organizational effectiveness, who is detail-oriented, organized, and comfortable managing finance and logistics tasks simultaneously; and who has strong written and verbal communication skills.
Finance and Administration:
- Manage day-to-day finance operations, including processing deposits, payables, invoicing, reimbursements, and monthly bookkeeping activities (reconciling receipts, supporting the coding of transactions and allocations to program areas, etc.)
- Track project budgets and needs using monthly expenditure reports produced by our fiscal sponsor; track budget vs. actuals across projects and programs
- Maintain and update central repository of organizational subscription information
- Review, organize, and forward emails from the info account to the various Teams channels according to their purpose or requests
Human Resources:
- Coordinate hiring and onboarding for new staff (posting new positions, organizing applicants, scheduling the relevant meetings, facilitating completion of employee intake process)
- Ensure all announcements/ requirements are shared with and implemented by the team (e.g. benefits election, mandatory trainings, policy changes)
Event Logistics:
- Support scheduling and logistics related to internal team meetings and retreats as well as external (member-included) events
- Secure event insurance and communicate with insurance agents as needed.
Qualifications and Experience:
- 5+ years of experience in an administrative role, with experience encompassing finance, HR management and office administration.
- Demonstrated experience in assessing, designing, and building efficient systems, processes, policies, tools, and organizational practices
- Proficient skill level in excel - ability to present financial data in an organized and digestible format.
- Understanding of fundraising and finance in the context of a small, grassroots nonprofit organization.
- Integrity to manage confidential and/or sensitive information.
- Comfortability with technology and virtual communication systems, including Salesforce, Zoom, Teams, etc.
- Excellent interpersonal communication skills and ability to work cooperatively across teams and with external consultants.
- Strong time management skills, attention to detail, and experience managing projects, timelines, and people
Preferred Skills:
- Demonstrated experience working in for grassroots movement-building contexts
- Experience working with Black and/or rural farmers
- Knowledge of CRM, social media management tools and email marketing platforms (e.g., Salesforce NPSP, Meta Business, Mailchimp, and Constant Contact)
- Comfort with using project management platforms (e.g. Monday.com, Asana, Trello)
Compensation and Benefits:
- The role is paid $38- $42 per hour commensurate with experience
- Healthcare stipend
- Paid sick and vacation leave
- Annual professional development funds
Expected Time Commitment: Part-time employment at 20-25 hours per week
Additional Information: This role is remote, but requires that applicants be based in the Southeastern United States. This role will require some travel.
