C-Change Conversations is seeking an organized and proactive Executive Assistant/Outreach Coordinator to provide day-to-day administrative and outreach support. Working closely with the President and broader C-Change team, this role helps keep organizational operations running smoothly while coordinating presentation engagements, supporting presenters and affiliates, managing event logistics, and maintaining relationships with external partners. The ideal candidate is a strong communicator and detail-oriented self-starter who can manage multiple priorities, anticipate needs, and keep projects moving from initial inquiry through completion and follow-up. This position is predominantly remote, with occasional in-person meetings and events in Princeton, NJ required.
Key Responsibilities
Executive & Administrative Support
- Manage the President’s calendar, including executive, affiliate, presenter, and staff meetings
- Coordinate meetings, develop agendas, prepare materials, and track follow-up items
- Provide general administrative and technology support to the President and team
- Organize and maintain digital records, research resources, presentation materials, and organizational documents across Google Workspace, Microsoft 365, and OneDrive
- Develop, edit, and distribute presentation decks, transcripts, and other professional materials
- Maintain organized records of the President’s research and reference materials
- Track organizational receipts, expenses, and financial documentation
- Manage physical mail, including receiving and routing correspondence and donations
- Maintain donor records and document donations in Eleo
- Prepare donor and fundraising reports as requested
Outreach, Events & Affiliate Coordination
- Track presentation leads, upcoming and completed engagements, and related information in Asana
- Manage presentation agreements and coordinate scheduling, content, and event details with hosts and presenters
- Coordinate presenter travel, accommodations, transportation, and other event logistics
- Develop detailed trip itineraries and coordinate additional local events and outreach opportunities
- Serve as a primary point of contact for presentation hosts, presenters, affiliates, and other organizational partners
- Coordinate presentation attendance tracking and participant surveys
- Lead post-presentation follow-up with hosts, including thank-you communications, testimonials, and collection of updated contact information
- Serve as a primary headquarters contact for C-Change affiliate chapters and support ongoing chapter engagement
- Coordinate and facilitate quarterly affiliate meetings and monthly presenter meetings
- Prepare and distribute monthly affiliate communications featuring organizational updates and relevant climate resources
- Provide the Communications team with timely event and program information for the website, social media, newsletter, and other communications
Podcast Support
- Conduct background research on prospective podcast guests
- Participate in guest pre-interviews and assist with guest preparation
- Coordinate guest and team scheduling
- Provide recording and technology support as needed
Required Qualifications
- Excellent organizational and time-management skills, with strong attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple projects, deadlines, and relationships simultaneously
- Comfortable working independently in a remote environment
- Strong follow-through and ability to anticipate logistical needs
- Proficiency with Google Workspace and Microsoft 365
- Familiarity with project management and collaboration tools such as Asana is a plus
- Comfort learning and working across multiple digital platforms and databases
- Prior experience in executive assistance, nonprofit administration, outreach, event coordination, communications, or a related field is helpful

Benefícios
Location: Princeton, NJ / Remote
Schedule: 25–35 hours per week, Monday–Friday, with a flexible schedule between 9:00 a.m. and 5:00 p.m. Occasional weekends required.
