    The Email Specialist is an essential, detail-oriented role responsible for the flawless execution, technical quality, and timely deployment of all email communications and associated digital assets. This specialist works closely with the Director, Email Strategy & Operations and the Marketing Automation Analyst to ensure data integrity and strategic alignment. The specialist is also the primary owner of the email marketing calendar and is responsible for building and managing all event registration forms using platforms like Blackthorn and Eventbrite. This is a hands-on execution role with a strong focus on technical build, quality assurance, and operational efficiency across both email and event registration channels.

    Essential Functions:

    • Manage the email process workflow including management of our email planning calendar (communicating changes and conflicts) and collaborating with creative and integrated marketing teams to build, proof, and deploy all email campaigns
    • Manage ad hoc marketing email requests with project managers to support internal partners
    • Set up and manage the final scheduling and deployment of one-time and recurring campaigns, ensuring adherence to the email calendar and designated send times.
    • Maintain and update existing email templates to ensure they are functional and adhere to technical best practices and brand guidelines.
    • Own the end-to-end building and configuration of all event registration forms using third-party platforms, including Eventbrite and the Salesforce integration tool, Blackthorn.
    • Accurately configure A/B tests (e.g., subject line tests, CTAs, sender names) within the ESP in collaboration with the Director of Email Strategy and Operations.
    • Coordinate daily with the Marketing Automation Analyst to ensure accurate and timely audience lists and segments are loaded and targeted for each specific send.

    Other Responsibilities

    • Partner with the content strategy and comms teams to proactively respond to crisis communications requests after hours or on weekends when needed. This may include email deployment. 
    • Other duties as assigned with or without accommodation.

    Education:

    • Associate’s or Bachelor’s degree in a related field (Marketing, Communications, Information Technology, Web Development, or Graphic Design) is preferred.

    Experience:

    • 1-3 years of hands-on experience in a digital marketing, web production, or similar technical role.
    • 1+ year of direct experience building, QA'ing, and deploying high-volume emails using a major Email Service Provider (ESP).

    Skills/Competencies:

    • Foundational knowledge of HTML/CSS
    • Proficiency in using at least one major Email Service Provider (ESP) (e.g., Salesforce Marketing Cloud, Huspot, etc.). HubSpot experience preferred.
    • Excellent organization and multi-tasking skills, and a high attention to detail.
    • Ability to be flexible and adaptable to changes and shifting priorities.
    • Proficiency in utilizing project management tools (e.g., Basecamp, Asana) for projects and workload.
    • Non-profit experience a plus.

    Working Conditions:

    • Hybrid Work Schedule: CJP staff follow a hybrid work model. On-site work is required on Tuesdays and Wednesdays, while remote work is an option on Mondays, Thursdays, and Fridays with occasional in-person meetings on those days.
    • Physical Requirements: This role involves remaining in a stationary position, often sitting or standing for prolonged periods, primarily working at a computer. Staff need to be able to carry a laptop and bag to and from the office.
