Position Description
The Executive Assistant supports the CTUL Executive Director, working within the Administration Team to provide administrative support for the organization, managing the CTUL Board of Directors, and coordinating logistics around meetings, retreats, and internal communications. The Executive Assistant is a confidential employee.
CTUL operates under a collective bargaining agreement with Minnesota Newspaper & Communication Guild, TNG-CWA Local 37002. The Executive Assistant is a confidential employee and is not represented for purposes of collective bargaining by the Guild.
Responsibilities
Responsibilities may include but are not limited to the following:
Executive Support:
- Provides administrative support to the Executive Director through meeting scheduling and prep, calendar and email management, and regular check-ins
- Thought partnership with the Executive Director
- Supports developing and updating organizational processes and policies
- Manages the Board of Directors by regularly communicating with Board members, coordinating logistics and creating materials for all board meetings, events, trainings, annual retreat and annual board elections
- Prepares and edits correspondence, communications, presentations and other documents for the Executive Director and the Board of Directors
General Administrative Support:
- Coordinates logistics around and takes detailed notes during internal meetings including staff meetings, management meetings and union negotiations
- Coordinates organizational communications and reminders, including the CTUL calendar
- Distributes and translates meeting minutes and follows up on action items
- Along with the administration team, manages Google Workspace administration (calendar, drive, email) & training for CTUL staff
- Monitors the Operations email account and directs emails to the appropriate persons
- Supports internal communications
- Supports in providing interpretation support for meetings
- Administers organizational Signal chats, including those for staff, leads, directors and board members
- Other administrative projects as assigned
Qualifications
- Project management or coordination experience
- Highly organized and detail oriented with experience using spreadsheets, filing systems, and other tools to support in tracking and managing projects
- Familiarity with online calendars, cloud systems and google suite
- Problem-solving ability
- Discretion and demonstrated ability to manage confidential information
- Strong communication and listening skills
- Have a flexible schedule, including some early mornings, evenings and weekends (typically 1-2 weekend days per month)
Preferred Experience
- Fluency in both English and Spanish highly preferred
- 2-3 years experience in administrative work
- Experience directly supporting senior executives or high level management

Salary & Benefits
This is a full-time, salaried position with benefits. This salaried position is currently compensated at $63,500 - $67,980.00 per year with an annual raise. Benefits include an annual 5% bonus which can be used towards a retirement fund, and paid time off including holidays, sick time, recuperation, and vacation time. This is a hybrid position and will be expected to regularly work in the office, with work some evenings and weekends.
