Position Overview
Beam Center seeks a highly organized, detail-oriented Development Associate to help
strengthen and expand the organization’s fundraising efforts. Reporting to the Director of
Development, the Development Associate will serve as a key operational and writing support
role within the development department, managing donor systems, stewardship processes,
prospect research, grant administration, and basic institutional fundraising materials.
This position is designed to increase fundraising capacity across the organization by ensuring
that donors receive exceptional stewardship, grant deadlines are well managed, fundraising
systems run efficiently, and development activities are supported by strong data, research,
writing, and project management. The Development Associate will support both individual
giving and institutional fundraising, including helping draft letters of inquiry, renewal requests,
proposal sections, grant reports, funder updates, and other donor-facing materials.

KEY RESPONSIBILITIES
Donor Stewardship & Individual Giving Operations (40%)
- Process gifts and ensure acknowledgments are sent within established timelines.
- Maintain accurate donor records, coding, segmentation, and engagement history in Bloomerang.
- Coordinate stewardship activities, including donor communications, impact updates, and recognition efforts.
- Support annual giving campaigns, recurring donor programs, and donor retention initiatives.
- Prepare donor briefings, meeting materials, and follow-up communications for major
- donor cultivation.
Grants & Institutional Fundraising Administration (30%)
- Manage the grants calendar and track proposal, report, renewal, and stewardship deadlines.
- Maintain institutional funder records, grant files, award letters, reporting requirements, attachments, and submission materials.
- Support preparation and submission of letters of inquiry, grant proposals, renewal requests, reports, and funder updates.
- Draft basic grant materials, including organizational background, program descriptions, need statements, outcomes summaries, and report narratives.
- Coordinate proposal and reporting materials by collecting program data, stories, budgets, outcomes, attachments, and supporting documentation.
- Track grant deliverables, restrictions, payment schedules, and reporting requirements in coordination with Finance and program staff.
- Coordinate gift tracking and reconciliation with Finance.
Development Operations & Data Systems (20%)
- Serve as primary administrator for Bloomerang CRM.
- Generate monthly fundraising dashboards, pipeline reports, and development metrics.
- Maintain donor files, digital records, and development systems.
- Support forecasting, campaign tracking, and fundraising analysis.
- Develop and maintain standard operating procedures for development activities.
Coordinate monthly reconciliation with Finance.Events & Board Support (10%)
- Support fundraising and cultivation events, including Beam Brunch, donor gatherings, and stewardship events.
- Manage guest lists, RSVPs, registration, and event-related follow-up.
- Coordinate event materials and donor-facing collateral.
- Support board and development committee communications, meeting preparation, and tracking of fundraising activities.

QUALIFICATIONS
- Bachelor’s degree in a related field or at least three years of relevant experience in nonprofit development, fundraising operations, grant administration, advancement services, communications, or related fields.
- Strong organizational skills and exceptional attention to detail.
- Experience working with databases or CRM systems; Bloomerang experience preferred.
- Ability to manage multiple projects and deadlines simultaneously.
- Interest in fundraising, philanthropy, youth development, education, or the arts.
- Collaborative, proactive, and eager to learn.
Preferred Qualifications
- Experience with prospect research tools such as Foundation Directory, Instrumentl, DonorSearch, or similar platforms.
- Experience supporting donor stewardship and fundraising campaigns.
- Experience supporting grant proposals, reports, letters of inquiry, or donor communications.
- Familiarity with nonprofit fundraising metrics and donor lifecycle management.
- Experience coordinating events or donor engagement activities.
