    What We Need

    Cascade Bicycle Club is seeking a highly organized employee to serve as the Executive Assistant. The Executive Assistant will be a dynamic logistics whiz who thrives collaborating with people, solving problems, and having a hand in many projects that help keep Cascade’s chain greased and pedals powering towards our mission.

    Cascade Bicycle Club, the nation's largest statewide bicycle nonprofit, is 9,000-members, 55-years old, and 42-staff strong, serving bike riders of all ages and abilities throughout the state of Washington. We teach the joys of bicycling, advocate for safe places to ride, and produce community rides and events. Our signature programs include the Seattle to Portland ride, the Pedaling Relief Project, advocacy for connected trail networks and on-street bike networks in Seattle and across the Puget Sound Region, Your Streets Your Say, Free Group Rides, Adult Classes, Let's Go, and the Major Taylor Project.

    What You’ll Bring

    Duties and Responsibilities

    Support the Executive Director (40%)

    • Assist with calendar and time management, travel accommodations, receipt reconciliation, and other tasks as assigned
      • Rearrange calendar events as necessary when last minute meetings with high-value stakeholders arise and communicate changes with attendees
      • Learn how to prioritize Executive Director’s time to advance the organization’s mission
    • Serve as the primary coordinator for internal and external meetings and events
    • Support development team in coordinating and documenting donor outreach done by the Executive Director
    • Assist with special projects as needed

    Provide team-wide operational support (40%)

    • General Administrative Support: Serve as point person for conference call set-up, calendar requests, room reservations, catering requests, maintaining office space, ordering office supplies, making and ordering photocopies, etc. Regularly attend and notetake at Leadership Team meetings.
    • Program Support: Provide administrative support for staff meetings, board meetings, and additional programs as needed (e.g. coordinating food, taking minutes, posting signage and welcoming guests). Coordinate logistics around monthly staff days.

    Support Board of Directors (10%)

    • Act as primary administrative coordinator of board members, board activities, and board calendar events, including hosting virtual meetings.
    • Be the primary point of contact when board members need something from staff.
    • Maintain up to date contact information and board and committee rosters.
    • Onboard new board members: arrange for informational sessions, help with email and calendar setup, distribute name tags and swag, etc.

    Maintain a welcoming, high-functioning office environment (10%)

    • Assist customer service manager in providing exceptional customer service to callers and visitors, external partners, vendors, and staff.
    • Maintain office technology, space, and resources; this includes stocking inventory, placing supply orders, receiving packages, etc.

    Skills and Competencies

    • Must be a highly motivated, independent worker who can problem solve and work within ambiguity
    • Strong written and verbal communication skills
    • Highly organized and detail oriented
    • Ability to triage and prioritize multiple competing priorities or requests
    • Superior active listening and communication skills with the ability to work with all ages of people from various diverse backgrounds.
    • Willing to execute day-to-day tasks and work independently
    • Willingness to contribute ideas, including amongst senior staff and board members

    Qualifications

    • Demonstrated experience working to advance racial equity
    • 1 or more year of experience in customer service, administration, or project coordination
    • Experience using and learning a variety of online tools, including the Google Suite, Zoom, Salesforce, etc.
    • Working knowledge of financial spreadsheets, operational reporting, etc (preferred)
    • Entrepreneurial work ethic and a desire to “get the job done”
    • Ability to anticipate needs and respond quickly with a positive attitude in the face of unanticipated changes and challenges

    Job Details

    This position is full-time non-exempt and remote-hybrid eligible. Residence in Washington state and the ability to come into the office three to four days per week are required for this role. Some weekend and evening work may be required. Typical weekly hours for this position are Monday-Friday 9-5, with one regular evening meeting a month. Cascade’s overall office policy is that generally, work can be done off-site, provided there is no loss to team collaboration, the needs of the organization, and the essential functions of the position.
