    Position Summary

    Reporting to the Deputy Director and working in close partnership with the Executive Director, Program Directors, and an outsourced accounting firm, the Director of Finance is responsible for the full spectrum of day-to-day financial operations and internal fiscal systems at Groundwork RVA.

    The Director of Finance provides hands-on financial leadership for an organization with an annual operating budget of approximately $1.2 million. This role is responsible for all financial transactions and internal fiscal management, while coordinating closely with an outsourced accounting firm that supports monthly reconciliations, monthly close processes, audit preparation, and IRS Form 990 filing.

    This position requires a high level of accuracy, organization, and collaboration, and plays a critical role in ensuring financial integrity, grant compliance, and operational effectiveness across the organization. As the organization grows, Groundwork RVA anticipates expanding its finance function to support long-term sustainability and staff wellbeing.

    Accounting & Transaction Management

    • Perform all day-to-day financial transaction entry and processing, including Accounts Payable, Accounts Receivable, payroll entries, journal entries, expense coding, expense allocation, and grant and fee-for-service invoicing.
    • Lead all AP/AR processes, including follow-up on receivables and coordination with program and revenue-generating staff.
    • Process biweekly payroll and administer payroll systems (Gusto).
    • Maintain accurate and timely bookkeeping in QuickBooks in accordance with Generally Accepted Accounting Principles (GAAP).
    • Ensure all receipts and supporting documentation are submitted and uploaded in a timely manner, coordinating with Program Managers and staff using systems such as Ramp and Gusto.
    • Maintain organized digital and physical financial records, including scanning, filing, and data management.
    • Monitor organizational and office expenditures and manage bank deposits.

    Financial Planning, Reporting & Oversight

    • Manage organizational cash flow, forecasting, and budget tracking.
    • Build and deliver monthly, quarterly, and annual financial reports for organizational leadership.
    • Collaborate with the Executive Director, Deputy Director, and Program Managers to develop annual budgets and monitor spending against approved budgets.
    • Provide timely and accurate financial data to support effective program management and decision-making.
    • Assist the Development and Communications Director with financial data related to contributions reporting, grant budgets, and funder reporting as needed.

    Outsourced Accounting Coordination & Compliance

    • Serve as the primary liaison to the outsourced accounting firm supporting:
    • Monthly bank and credit card reconciliations
    • Monthly close processes
    • Audit preparation
    • IRS Form 990 filing
    • Prepare financial data and documentation required for reconciliations, close, audit, and tax filings.
    • Review financial outputs prepared by the outsourced accounting firm for accuracy and completeness.
    • Lead the annual audit process in coordination with the Executive Director and outsourced accounting partners.
    • Support the maintenance and improvement of financial policies, procedures, and internal controls.
    • Train staff on financial systems, procedures, and compliance requirements as needed.

    Grant & Contract Financial Management

    • Lead all financial aspects of grant and contract management, including local, state, federal, foundation, and fee-for-service revenue.
    • Prepare and submit reimbursable grant invoices accurately and on time.
    • Monitor grant expenditures against approved budgets and funding timelines.
    • Ensure proper allocation of income and expenses across grants, programs, and fee-for-service activities.
    • Provide grant financial status reports to leadership and Program Managers as requested.

    Qualifications, Education & Experience

    Required Qualifications

    • Strong alignment with Groundwork RVA’s mission, values, and commitment to equity.
    • Minimum of 5 years of experience in bookkeeping, finance, and operations, preferably in a nonprofit or mission-driven organization.
    • Demonstrated experience managing reimbursable local, state, and federal grants and contracts.
    • Strong working knowledge of Generally Accepted Accounting Principles (GAAP).
    • Proficiency in QuickBooks and Microsoft Excel.
    • Experience with payroll systems.
    • Highly organized, detail-oriented, and able to manage multiple priorities and deadlines.
    • Ability to work independently while collaborating productively with staff, leadership, vendors, and external partners.

    Preferred Qualifications

    • Bachelor’s degree in accounting, finance, or a related field (professional experience may substitute).
    • Experience supporting audits and IRS Form 990 preparation.
    • Experience implementing or managing financial systems and internal controls.

    This is a full-time, exempt position. Salary range: $70,000–$80,000, based on experience. Benefits include four (4) weeks of personal leave, 75% employer-paid medical, dental, and vision coverage, and access to a retirement savings plan with employer match.
