Position Overview
The Employment Services Program Coordinator provides administrative, operational, and programmatic support to the Director of Employment Services and the broader employment team. This role supports the implementation of NAAM’s employment programs, including the Employment Support Services Program (ESSP), the Comprehensive Employment Services (CRES), and other employment services program contracts, by ensuring data accuracy, coordinating outreach, assisting with reporting, and supporting client services.
The Coordinator plays a key role in maintaining program quality, supporting staff workflows, and enhancing communication across programs while contributing to high-quality, client-centered service delivery. The candidate will be working in a mission-driven, multicultural, client-centered environment, supporting vulnerable newcomer populations.
Key Responsibilities
Program Operations & Employment Services Coordination
- Support the day-to-day implementation of employment services programs, including the Employment Support Services Program (ESSP), Comprehensive Employment Services (CRES), and other employment services program contracts.
- Coordinate program activities such as orientations, job readiness workshops, and training sessions by scheduling, preparing materials, and tracking participation.
- Assist in maintaining consistent workflows across programs by documenting processes and supporting adherence to standard operating procedures.
- Monitor program activity timelines (enrollments, service delivery milestones, and follow-ups) and flag delays or gaps to the Director and program staff.
- Facilitate communication across employment services staff to ensure alignment on program updates, client needs, and outreach efforts.
Data Management, Reporting & Quality Assurance
- Provide data entry and quality assurance support to ensure accuracy, completeness, and compliance with program requirements.
- Track all client and program interactions in Salesforce and support ongoing data system maintenance.
- Assist in auditing case files and maintaining documentation aligned with contractual and reporting requirements.
- Contribute to the development of simple reports to track key metrics and performance indicators.
- Support ongoing documentation and recordkeeping for program activities and outcomes.
Outreach, Recruitment & Community Engagement
- Represent NAAM at job fairs, career events, and community outreach activities to promote employment services programs.
- Staff outreach tables, distribute program materials, and clearly communicate program offerings to prospective participants.
- Assist potential clients with completing initial intake forms and understanding program eligibility and services.
- Collaborate with program staff to support outreach strategies aimed at recruiting eligible participants.
- Maintain relationships with community partners and assist in coordinating referrals to and from partner organizations.
Administrative & Staff Support
- Provide administrative support to the Director and employment services team, including scheduling, meeting coordination, and material preparation.
- Assist with onboarding interns and volunteers by preparing materials, coordinating schedules, and ensuring completion of required documentation.
- Develop and update step-by-step guides, training materials, and internal resources to support staff consistency and efficiency.
- Update organizational charts and maintain internal program documentation.
Communication, Collaboration & Professional Development
- Communicate effectively with staff, clients, and partners in a professional, culturally responsive, and compassionate manner.
- Maintain regular communication with employment specialists regarding client progress, outreach efforts, and open cases.
- Participate in team meetings, trainings, and cross-program initiatives to support continuous program improvement.
- Share insights and observations from data, outreach, and client interactions to inform program enhancements.
- Exercise discretion and maintain confidentiality when handling sensitive client and program information.
Other Duties
- Support cross-program collaboration and special projects as needed.
- Perform other duties as assigned to support the success of NAAM’s employment services programs.
Qualifications
Required:
- Associate’s or Bachelor’s degree in human services, workforce development, business administration, or a related field (or equivalent experience).
- Strong organizational skills and attention to detail.
- Experience with data entry and database systems (e.g., Salesforce or similar).
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and work collaboratively in a team environment.
- Demonstrated cultural sensitivity and ability to work effectively with diverse, multicultural populations.
Preferred:
- Experience in workforce development, employment services, or nonprofit programs.
- Familiarity with state or federally funded programs and reporting requirements.
- Experience working with immigrant and refugee populations.
- Fluency in Spanish or another language commonly spoken by NAAM clients is highly desirable.
