    Descrição

    Growing Hope Globally is seeking a highly organized, dependable, and mission-minded administrative and finance professional to support our team and help advance our mission of responding to global hunger. This role will provide essential administrative and operational support, helping ensure that our staff, donors, volunteers, and partners have a positive and well-organized experience. The ideal candidate is detail-oriented, collaborative, proactive, and passionate about serving others through the work of a Christian nonprofit.

    This position is a part time role (20 hours per week). The position is remote, but must be based in the midwest (Michigan preferred).

    OVERVIEW

    The Administrative and Finance Coordinator provides effective support for day-to-day finance and administrative functions for a small non-profit with a fully remote team. The ideal candidate will exhibit the following characteristics:

    • able to work in a team environment to leverage the multiple skills of staff, board directors, volunteers, partners and program participants.
    • able to work independently and remotely, remaining self-motivated and able to work a flexible schedule.

    RESPONSIBILITIES

    Finance and Accounting

    • Act as back-up for Finance Manager for bill payments
    • Perform monthly bank reconciliations for the operating accounts and CD accounts.
    • Administrator of Paypal, Classy, Network for Good, Ascensus (SEP), HealthEquity (HRA/FSA/DCRA) and BlueCross/BlueShield. Fiduciary check for SEP and HRA/FSA/DCRA contributions and bank fund disbursements
    • Generate monthly financial statements through QuickBooks
    • Work with Financial Manager to provide necessary information for annual state filings

    Administrative Support

    • Board Meeting Planning and Logistics
      • In coordination with the President and CEO, manage travel and logistics for bi-annual in-person board meetings (may include hotels, meeting locations, meals, etc.)
      • In coordination with the President and CEO, prepare board notebooks for quarterly board meetings, ensuring documents are current and accurate, and liaise with staff to ensure reports have been submitted.
      • Communicate logistics and meeting planning with board members.
      • Serve as a notetaker for committee and working group meetings (as needed), and quarterly board meetings.
    • Operations
      • Maintain and update personnel files (paper and online) with:
        • Resume or CVs and short bios
        • Tax information
        • Job application & emergency contact information
        • Property inventory sheets for each employee
        • Pay change letters, self-assessments, and work plans
        • Copy of passports and other citizenship documents as needed
        • Medical information as needed.
      • Onboard new employees, share employee and benefit documents, health plan access, if pertinent, arrange system access and provide training on company and systems
      • Maintain Growing Hope Globally manuals and guidelines, working with appropriate staff to update as needed, and as relevant develop templates.
      • Maintain an inventory of marketing materials, working with the Marketing and Communications lead on replenishing inventory as needed.
      • Provide planning/logistics support for in-person team meetings
      • Compile and send out Growing Project packets
      • Periodically review Salesforce information for accuracy and updates

    Resource Development

    • Website
      • Maintain and add documents, pictures and articles in coordination with Marketing and Communications Lead
      • Research new web features to keep website current
      • Include new media as it develops
      • Maintain and work with Marketing and Communications Lead and appropriate consultant and domain host as needs arise
    • Donor Stewardship
    • Growing Project Stewardship

    Overseas Programming (OP)

    • Facilitate guest visits: write letters of invitation and Terms of Reference (TORs), bios, and letters to embassies (as required) to support Visa processes/travel arrangements for overseas visitors.
    • Facilitate overseas program visits: provide logistical support to regional OP lead, collect necessary paperwork from travelers, maintain files, and support the travel guide development.
      • Work with regional OP lead to support travelers after they return to ensure they are equipped to tell the Growing Hope Globally story effectively.
    • Ensure overseas photos are saved on flickr and that programming stories are shared on the website, blog, and constant contact (working in coordination with the Marketing and Communications Lead).

    Other Duties

    Role includes other responsibilities in areas of individual donor stewardship, resource development and/or partner relations as dictated by organizational and strategic plan needs in coordination with organization leadership. This will also include special projects and supporting Board related activities, initiatives and committees.

    QUALIFICATIONS & EXPERIENCE

    • Relevant college degree preferred but not required.
    • Able to plan events and coordinate logistics.
    • Experience working with non-profit boards is a plus
    • Strong organizational skills
    • Computer related skills, including Word/Excel/PowerPoint/Google Workspace/Zoom.
    • Self-starter; able to work independently
    • Flexible in dealing with priority changes and interruptions.
    • Familiarity with or capability to learn Salesforce.

    Benefícios

    Employer will contribute 8% of pay to a SEP retirement plan.
