    Job Description: The Palisades Community Renewal Center (PCRC), a program of the Picerne Family Foundation, is a community center for individuals and families impacted by the Palisades fires. It is a space for healing, renewal, and rebuilding. Services include counseling and therapy, arts programming, wellness activities, and a range of events designed to reconnect and support community members.

    The PCRC Office Manager plays a vital role in supporting the daily operations of the Center by providing high-level administrative support to the PCRC Director and the broader team. This role ensures that the PCRC runs smoothly, is organized, and functions efficiently. The Office Manager serves as the administrative backbone of the organization, contributing to an atmosphere of professionalism, care, and excellence.

    This position will interact closely with the public, serving as a resource while creating a positive, welcoming, and accessible experience for all community members and visitors to the Center.

    The Office Manager is expected to demonstrate initiative, strong organizational and communication skills, discretion, reliability, and a team-oriented approach. They must thrive in a multi-faceted environment and be committed to the PCRC’s mission of service and community support.

    Reporting Relationships:

    The Office Manager reports to the PCRC Director and works closely with PCRC staff, service providers, volunteers, and members of the public. The Office Manager may supervise volunteers and partners as assigned by the Director.

    Schedule: This is a full-time, onsite position with a Tuesday–Saturday schedule. Some evening or holiday hours may be required depending on programming needs.

    Key Responsibilities:

    Administrative and Operational Support

    • Oversee day-to-day administrative operations of the center, ensuring an organized, clean, and well-resourced office environment.
    • Manage phone calls, emails, and visitor inquiries with warmth, professionalism, and discretion.
    • Provide direct, high-level administrative support to the PCRC Director—managing calendars, scheduling meetings, tracking tasks, and prioritizing communications.
    • Develop and maintain filing systems (digital and physical) to ensure records, contracts, and communications are well-organized and accessible.
    • Facilitate document processing which may include, check requests, reimbursements, and processing invoices/contracts.
    • Maintain and update database systems, ensuring accuracy of contact information, client records, class rosters, volunteer logs, and other essential data.
    • Maintain office supplies and equipment—tracking inventory, ordering items, and coordinating with vendors as needed.

    Client, Program, and Event Support

    • Oversee class and activity registration processes—managing registration systems, communicating with participants, and maintaining accurate schedules and rosters.
    • Support smooth coordination of PCRC programs and events, including space scheduling, material preparation, and staff/volunteer support.
    • Maintain program calendars and track participation records to assist with reporting and evaluation.
    • Collect, analyze, and monitor program and participant data to support internal studies, reporting, and strategic program planning.

    Communication, Outreach, and Technology

    • Draft and edit communications such as newsletters, event flyers, email announcements, and other outreach materials.
    • Help maintain a strong PCRC presence on social media and digital platforms by creating content, scheduling posts and responding to online inquiries.
    • Audit and update the PCRC website and program listings as directed.
    • Support the Director in creating presentations, reports, and donor/partner materials.

    Vendor and Facility Coordination

    • Serve as a liaison with facility maintenance providers, IT support, and other vendors—scheduling service calls, tracking invoices, and ensuring timely follow-up.
    • Ensure compliance with contract terms and office/facility/safety protocols.
    • Monitor general upkeep and safety of the PCRC facility, alerting the Director to any urgent issues.

    Team and Volunteer Support

    • Assist with onboarding and training of volunteers and contracted staff.
    • Maintain schedules, sign-ins, and task assignments for volunteers and event support personnel.
    • Promote a collaborative, respectful team culture—modeling professionalism and supportiveness.
    • Perform other related duties as assigned by the PCRC Director.

    Qualifications:

    • Minimum 4 – 5 years of experience in office management, executive support, or nonprofit administration.
    • Strong organizational and multitasking skills, with a keen eye for detail and sense of urgency to complete priority tasks.
    • Ability to work proactively and autonomously on a daily basis.
    • Experience maintaining databases and overseeing online registration systems.
    • Excellent written and verbal communication skills.
    • High proficiency in Microsoft Office Suite, Google Workspace, and basic design platforms (e.g., Canva).
    • Comfortable using and troubleshooting office technology and systems.
    • Experience working in a community-facing, therapy and/or arts focused or nonprofit environment is strongly preferred.
    • Ability to handle sensitive information with confidentiality and integrity.
    • Calm, warm and professional under pressure; resourceful and solutions-oriented.
    • Demonstrated emotional intelligence, including self-awareness, empathy, and the ability to navigate interpersonal dynamics effectively.

    The physical demands described here are a representation of those that must be met by an employee to successfully perform the essential functions of this job.     Compensation: $60,000 - $65,000 annually, commensurate with experience.
