Position: Donor Relations Coordinator, Miami
Reports To: Associate Director, Donor Relations
Position Status: Full-Time, Exempt
Location: Miami, FL
DESCRIPTION:

The Donor Relations Coordinator position is full-time and reports to the Associate Director, Donor Relations. This role is primarily responsible for all offline gift entry into our CRMs and for ensuring our donor records are up to date. This role is part of a customer-oriented team focused on providing the infrastructure PF needs to build long-term donor relationships to financially support the mission and programs of PF. It is pivotal to PF’s efforts to achieve best-in-class customer service while strengthening donor relationships by processing donor contributions efficiently.
RESPONSIBILITIES:
Responsibilities include, but are not limited to the following:
Donor Relations & Customer Service
- Provide exemplary and timely customer service to donors, constituents, and internal staff, responding to inquiries professionally and with a high level of attention to detail.
- Research and respond to constituent and internal staff inquiries via phone calls or email, escalating complex or sensitive issues to the appropriate team member when necessary.
Gift Processing & Data Management
- Open, sort, review, and process offline gifts received at the Miami office each week, ensuring offline gifts are accurately and efficiently entered into the appropriate systems.
- Ensure proper record-keeping of all transactions for audit and compliance purposes, including scanning weekly checks, cash and credit card batches, redacting sensitive banking information, and saving documentation using established naming and filing conventions.
- Enter all community fundraising offline donations into TeamRaiser and import transactions into Raiser’s Edge via Omatic, ensuring fundraising totals and donor records remain accurate and up to date.
- Prioritize the processing of time-sensitive and high-value gifts, including $1,000+ gifts, community fundraising gifts, special event donations, and other priority transactions based on business needs.
- Responsible for the accurate entry and designation identification of ACH Corporate/Foundation transactions. This includes reviewing gift history and record notes; proactively contacting appropriate internal staff or corporate/foundation contacts when the designation is not readily available to ensure gifts are coded accurately.
- Maintain and update donor records, including researching and correcting discrepancies and ensuring constituent information is complete and accurate.
Donor Acknowledgment & Reporting
- Prepare and distribute the daily Major Gift Alert to designated staff, ensuring information is accurate, timely, and complete.
- Run and distribute tribute notification cards every week.
- Assist with additional donor acknowledgment, reporting, and stewardship activities as needed.
Process Management & Continuous Improvement
- Work closely with the Associate Director, Donor Relations to document and maintain current Donor Relations processes and procedures up to date on SharePoint.
- Assist in training other staff on new procedures.
- Demonstrate flexibility and a willingness to take on new responsibilities, workflows, and assignments as departmental needs evolve.
- Identify opportunities to improve gift processing, data quality, efficiency, and customer service, and make recommendations to leadership.
- Participate actively in the development, testing, and implementation of new processes, systems, and technology.
- Other duties as assigned by management.
EXPERIENCE/SKILLS REQUIRED:
- At least three years of professional experience in a development or data management position.
- Proven track record of excellent customer service and data entry skills.
- Prefer experience with Raiser’s Edge, Omatic, Luminate, and Salesforce.
- Proficiency in computer software programs, including Outlook, Word, Excel, and aptitude for working with donor database systems. V-lookup knowledge a plus.
- Should be technologically savvy, with an ability to implement new processes and increase efficiency in a fast-moving environment.
- Prefer experience working with nonprofit organization.
- Flexible and a self-starter; able to multi-task while also being highly detail-oriented.
- Strong written and oral communication skills in English.
- Flexibility to work overtime as needed.

COMPENSATION:
Salary for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included. The salary range for this position is $55,000-$60,000.
