Position: Data Coordinator
Reports to: Director, Development Data Operations
Position Status: Full-Time, Non-Exempt
Location: Remote
DESCRIPTION

The Data Coordinator is a member of the Operations Department and reports to the Director of Development Data Operations. This position manages day-to-day CRM operations in Raiser’s Edge NXT and keeps the Foundation’s constituent data accurate, synchronized, and ready to use. The coordinator executes data hygiene and deduplication across the Foundation’s main systems, owns Direct Response mail lists, performs list-building and segmentation, manages data synchronization and imports between systems, and provides end-user support and training to Foundation staff. The coordinator also provides support to the Donor Services team as needed.
RESPONSIBILITIES
Responsibilities include, but are not limited to the following:
CRM Operations & Staff Support
- Manage day-to-day CRM operations in Raiser’s Edge NXT, including maintaining and updating constituent contact information on existing records.
- Provide end-user support, responding to system user questions and data requests from Foundation staff.
- Deliver staff training on data systems and processes; maintain system documentation and keep training materials up to date.
- Provide support to the Donor Services team as needed.
Data Hygiene & Deduplication
- Execute data hygiene across the Foundation’s main systems, including building and running Raiser’s Edge data clean-up queries and performing targeted clean-up tasks.
- Perform duplicate record merges across Raiser’s Edge, Luminate Online, and HubSpot, following the Foundation’s deduplication standards.
- Run Deceased Finder screenings and update constituent records accordingly.
- Manage opt-outs across systems and maintain the suppression list from Agilis, ensuring constituent communication preferences are honored consistently.
Lists & Direct Response
- Own the Foundation’s Direct Response mail lists, including providing scheduled data files to the direct mail vendor and uploading Direct Response appeal data.
- Perform list pulls and scrubs in support of fundraising and engagement campaigns.
- Perform list-building and segmentation tasks to support targeted communications across teams.
Data Synchronization & Imports
- Run data synchronization across the Foundation’s systems, monitoring results and resolving discrepancies to keep records aligned.
- Perform Salesforce imports and other data imports, exports, and equalization tasks between systems.
- Assist with data analysis imports and exports as assigned.
- Perform other job-related duties as assigned.
EXPERIENCE & SKILLS REQUIRED
- At least three years of professional experience in a data management or CRM support position, preferably in a nonprofit environment.
- Experience with Raiser’s Edge NXT is strongly preferred; experience with Luminate Online, HubSpot, or Salesforce a plus.
- Strong skills in data management, including imports, exports, deduplication, and list segmentation.
- Basic experience with SQL.
- Proficiency in Microsoft Excel, including VLOOKUP and related functions for working with constituent data files.
- Comfort providing front-line support and training to staff at varying levels of technical proficiency.
- Meticulous attention to detail and a strong focus on accuracy and data quality.
- Flexible self-starter, able to manage multiple priorities, meet deadlines, and adapt quickly to changing organizational needs.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office 365 and comfort working within SharePoint and Teams environments.
- Flexibility to work overtime as needed.

COMPENSATION:
Salary for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included. The salary range for this position is $50,000 to $60,000.
