    Position Summary

    The Camden Coalition is seeking a highly organized and detail-oriented professional to join our Shared Services department in a part-time role supporting both the Strategy & Advancement and Finance teams. This position plays a critical operational role in maintaining the systems, documentation, and processes that support the Camden Coalition’s grant funding, contracts, and financial administration.

    Working under the supervision of the Director of Strategy & Advancement and in close collaboration with the Chief Financial Officer, the individual in this role will help ensure that grant submissions, reporting requirements, contract documentation, and invoicing processes are completed accurately and on time. The work requires strong attention to detail, comfort managing multiple administrative systems, and a commitment to maintaining organized records and clear documentation across teams. This role is well-suited for a professional with prior experience in nonprofit operations, grants administration, finance operations, or contract administration who takes pride in keeping complex organizational processes running smoothly.

This position provides essential support to the teams stewarding the Camden Coalition’s grants, sponsorships, and contracts, helping ensure that funding and partnerships are managed with accuracy, transparency, and care.

    Requirements

    Roles & Responsibilities:

      Grants & Sponsorship Operations

      • Support administrative and operational aspects for the organization’s grant and sponsorship portfolio.
      • Coordinate the preparation and submission of grant applications and sponsorship proposals.
      • Manage grant documentation and submission processes, including compiling required materials and ensuring compliance with funder requirements.
      • Track grant deliverables, reporting deadlines, and sponsor commitments across the funding lifecycle.
      • Coordinate the preparation and submission of required grant reports and sponsor deliverables.
      • Support sponsor engagement and renewal by maintaining communication and ensuring fulfillment of sponsorship benefits.

        Contracts & Revenue Management

        • Support financial administration of contracts, including invoicing, revenue tracking, and compliance with contract terms.
        • Review executed agreements to identify billing terms, deliverables, and reporting requirements.
        • Prepare and submit invoices in accordance with contract terms and billing schedules.
        • Compile supporting documentation required for invoicing, including time records, deliverables, and expense details.
        • Track invoice status and monitor outstanding receivables, coordinating follow-up as needed.
        • Maintain records of contract revenue, payment schedules, and financial obligations.

          Systems & Process Management

          • Maintain the systems and processes that support grants, contracts, and revenue tracking across the organization.
          • Maintain and update the organization’s grant and contract tracking systems to ensure accurate and timely information.
          • Ensure alignment between development tracking tools and financial records.
          • Maintain shared documentation and standardized templates for proposals, contracts, and reporting.
          • Improve internal processes for tracking funding opportunities, submissions, reporting deadlines, and contract obligations.
          • Support internal teams in navigating grant, contract, and reporting requirements.

          Key Skills and Abilities:

          • Exceptional attention to detail, with the ability to manage complex documentation and ensure accuracy across proposals, contracts, invoices, and reports.
          • Strong organizational and project management skills, with the ability to track multiple deadlines, funding opportunities, and reporting requirements simultaneously.
          • Strong time management and prioritization skills, with the ability to balance multiple competing tasks and meet firm external deadlines.
          • Comfort working with data and administrative systems, including CRM platforms, financial systems, and online submission portals.
          • Reliability and follow-through, ensuring that commitments, submissions, and financial processes are completed accurately and on time.
          • Collaborative working style, with the ability to coordinate with program staff, finance teams, and external partners to gather information and meet requirements.

          Preferred Qualifications:

          • Experience supporting nonprofit grants management, including proposal submission, reporting, and compliance tracking.
          • Familiarity with government, foundation, and corporate grant processes and online grant submission portals.
          • Experience working with contracts and invoicing tied to deliverables, milestones, or time-based billing.
          • Experience using CRM systems or grant management databases to track funding opportunities and funder relationships.
          • Familiarity with financial tracking or accounting systems used for invoicing, revenue tracking, or accounts receivable.
          • Experience supporting cross-functional teams in meeting external reporting and compliance requirements.
          • Experience working in mission-driven or nonprofit organizations.

          • The position is a hybrid role that requires a minimum of in-person attendance each week at the Camden, NJ, office. Currently, the Camden Coalition workforce is in the office on Tuesdays & Wednesdays.
