ABOUT THE ROLE
As the Assistant to Program Team Leadership, you will be a key operational partner to MVP’s Chief Program Officer (CPO) and Director of State Programs, helping two senior leaders — and the broader Program Team — stay organized, informed, and focused on the work that matters most.
This is a unique opportunity for someone who loves creating order out of complexity, has exceptional attention to detail, and wants a front-row seat to high-level strategy and decision-making in progressive politics. You’ll gain hands-on exposure to MVP’s work supporting powerful state-based organizations and progressive political leadership across the country.
This is also, importantly, a role for someone who genuinely enjoys the nuts and bolts of making a team run well. You will spend significant time in spreadsheets, calendars, inboxes, Slack, Airtable, shared drives, and documents — tracking details, connecting dots, anticipating needs, and making sure important things don’t fall through the cracks.
You will report to the Chief Program Officer (CPO) and provide primary administrative support to both the CPO and Director of State Programs. In addition to calendar, inbox, travel, and administrative management, you will play an important role in project management, information management, and tracking and synthesizing the Program Team’s work.

RESPONSIBILITIES

Support Program Team Leadership
- Manage complex calendars for the CPO and Director of State Programs, including scheduling and coordinating internal and external meetings, events, and travel.
- Help manage leadership inboxes, identifying, categorizing, and surfacing correspondence that requires attention or follow-up.
- Work with Program Team leadership to prioritize meetings, activities, decisions, and follow-ups each week — and help ensure important next steps actually happen.
- Manage expense reports, timesheets, travel logistics, and other administrative needs for the CPO and Director of State Programs. From time to time, this role may flex to provide administrative support to other team members as capacity allows.
- Prepare leaders for external meetings, donor events, briefings, and other engagements by gathering materials, organizing background information, and providing copy editing and presentation support.
Keep the Team Organized and Moving
- Participate in Program Team and cross-departmental meetings, taking excellent notes, synthesizing decisions and next steps, assigning and tracking follow-ups, and helping move work toward completion.
- Provide project management support for priority projects, including team events, retreats, and other special initiatives.
- Maintain and organize Program Team documents and shared drives in Google Workspace, ensuring materials are easy to find, appropriately shared, and consistent with MVP’s knowledge-management protocols.
- Support the development and maintenance of presentations, spreadsheets, briefing materials, and other Program Team work products.
- Work across Google Workspace, Slack, Airtable, and other systems to maintain accurate information and make it easier for the team to find and use what it needs.
- Liaise with MVP’s Knowledge Manager to refine team procedures and protocols and ensure Program Team work products meet organizational standards. Serve as the Program Team’s internal library ambassador.
Track, Synthesize, and Surface What Matters
- Help capture stories and insights from MVP’s work in the states by regularly reviewing team updates, identifying compelling developments, and adding them to MVP’s storybank.
- Compile and organize information related to state strategies, partner work, and program priorities so leadership can quickly understand what is happening across the portfolio.
- Notice gaps, loose ends, and opportunities to make systems work better — and take initiative to address them.
- Take on additional projects and responsibilities as the needs of the Program Team evolve.
QUALIFICATIONS
REQUIRED QUALIFICATIONS
Note: Well-qualified candidates may not necessarily meet every single point below.
- Exceptionally strong organizational skills and attention to detail. You can keep track of a large number of moving pieces without losing sight of what matters most.
- A demonstrated track record of taking ownership and driving work through to completion. You anticipate next steps, follow through reliably, and don’t need to be told what to do at every stage.
- Strong judgment and prioritization skills. You can distinguish what is urgent, what is important, what can wait, and what needs to be surfaced to someone else — and can operate with a high degree of independence while staying aligned with key stakeholders.
- Excellent written and verbal communication skills. You can synthesize information clearly and concisely, collaborate effectively with a wide range of people, and handle sensitive or confidential information with discretion.
- Comfort with technology, information, and data. You’re highly capable with Google Workspace — especially Sheets, Slides, Docs, and Calendar — and comfortable learning and working in databases and other systems such as Airtable.
- A learning-oriented, team-minded approach. You are highly receptive to feedback, willing to own mistakes and learn from them, and contribute to a high-trust, collaborative, solutions-oriented culture.
PREFERRED QUALIFICATIONS
- Experience working in progressive politics, organizing, advocacy, philanthropy, or social movements.
- Previous executive assistant or comparable senior-level administrative support experience.
- Experience with Slack, Airtable, and/or other collaborative project- and information-management tools.
- Experience working effectively on a remote team across multiple time zones.

Salary Range: $76,500-$102,000 (based on experience)

OTHER DETAILS
Physical and Environmental Requirements
- Location: Remote, with occasional travel for in-person team meetings and retreats
- Position will operate from an at-home office or office of choice by the employee
- Employee must be able to sit for extended periods of time, with repetitive motion and positions
- Some lifting may be required (up to 20-25lbs)
- Occasional travel for internal team gatherings (2-3 times per year)
