Brief Description
The Controller oversees the essential functions of the Finance Department, including but not limited to: accounts receivable, payroll management, monthly and annual reports, annual audit, and tracking and management of our various income streams spanning fundraising campaigns, thrift store, annual giving and school tuition. Reporting to the Executive Administrator, the Controller serves as the lead for: managing the financial operations, overseeing accounting, implementing financial systems for records management, and preparing financial statements and reports for upper management and stakeholders. They are tasked with auditing, implementing, and continually evaluating financial systems in place and making modifications whenever necessary. Essential tasks include managing transactions, leading our annual audit, developing models and projections, preparing financial statements, analyses and reports, and making recommendations for improving policies and systems in place.
Plymouth Church and its pre-school, Plymouth Church School, are experiencing significant growth. The Controller will serve an essential role in scenario forecasting, data visualization, efficiency research, and making procedural recommendations that will help position our organization for the scaling of our school and church programs.
Supervisory Functions of the Job
- The Controller supervises one (1) additional member of the Finance team, our Finance Associate.
Essential General Functions of the Job
- Maintain the accounting books and records and financial reporting system in accordance with Generally Accepted Accounting Principles (GAAP) and conventional religious non-profit accounting practices.
- Document management includes, but is not limited to: financial statements, bank statements, investment statements, tax documents, accounting procedures, fiscal policies, general ledger, payroll records, donation records across fundraising campaigns, and vendor contracts.
All transactions will be in compliance with GAAP, church policies, applicable laws and sound internal control. They are, but are not limited to:
- Work with the Executive Administrator to organize all aspects and flow of financial matters and documents.
- Investment records: Make sure all investment records are filed and that all associated journal entries have been posted.
- Accounts payable: Prepare online payments and journal entries as appropriate in other areas.
- Support all Thrift Store financial entry and required reports/tax filing.
- Produce and distribute regular giving statements and year-end tax deductible statements for all contributors of record.
- Prepare regular stewardship reports, particularly during the height of campaign season (Fall).
- Respond to emails and phone call requests related to giving; assist new and returning givers with online processes.
- Monthly closing: Make sure all accounts are reconciled and all entries entered at month’s end.
- Monthly Council Budget to Actual, Investment and Cash Flow reports.
- Monthly expenditure reports to organizational leadership across all program areas spanning the school and our assorted church programs.
- Payroll processing and all associated journal entries, including all taxes, health benefits and pension.
- Manage processes for storing, safekeeping and retention/disposition of all electronic and paper-based church records.
- Annual closing: Ensure all accounts are reconciled and all entries entered at year’s end.
- Audit preparation: Lead the annual audit. Coordinate with auditors and prepare all schedules for their arrival.
- Audit work: Assist auditors by providing all requested documentation.
- Financial Statement Preparation: Ensure all information for financial statement preparation is provided to auditors.
- Support the Executive Administrator in the budget process.
- Support Executive Administrator in other financial needs as they arise.
Qualifications
- Bachelor’s Degree in Accounting, Finance, Business, or similarly applicable field - Required
- CPA certification - Required
- Minimum 10 years of progressive experience - Required
- Proficiency in ERP systems and Advanced Excel - Required
- Experience leading accounting departments or teams - Highly preferred
Mandatory Meetings
The person in this position will serve as an integral part of the team and be required to attend the following meetings as part of their overall schedule:
- Bi-weekly team meetings
- Additional meetings with the Executive Administrator or senior leadership, as needed.
Schedule
Monday through Friday during regular daytime business hours–specific schedule to be coordinated with the Executive Administrator.
Restrictions
The Controller role is an onsite position.
