    Position Overview

    Climate Corridors is seeking an organized and proactive Program Assistant to join our team. The role combines administrative and operational support with direct engagement in programmatic work, including providing support for grant writing, donor reporting, and program planning. The Program Assistant will work closely with and directly support the Executive Director across all functions of the organization.

    This position is well-suited to someone early in their career who is eager to learn the full arc of nonprofit conservation work, from organizational finances to field programs, and who brings curiosity, excellent judgment, and attention to detail.

    This is an in-person role based in Washington, DC, with regular in-person time expected for team collaboration, Board support, and partner meetings.

    Executive & Administrative Support

    • Draft and edit correspondence, memos, and internal documents on behalf of the Executive Director
    • Track action items, deadlines, and support follow up
    • Maintain organizational files and records
    • Support planning and carrying out Board meetings and other organizational events and meetings
    • Support calendar and travel coordination for the Executive Director and some other staff, along with support for coordinating communications with partners, funders, and other collaborators

    Finance & Accounting Coordination

    • Ensuring timely flow of documentation, coding guidance, and approvals to our external financial and accounting service provider
    • Process and track organizational invoices, reimbursements, and vendor payments; maintain clear records for audit readiness and support annual audit process
    • Coordinate with external accounting firm on production of financial reports for donors, the Board of Directors and others as needed

    Grant Writing & Funder Relations

    • Assist with development of materials for donors, including grant proposals and reporting, including helping gather and synthesize narrative content from program staff.
    • Research prospective funders and prepare funding opportunity summaries
    • Provide coordination for grant applications, including compiling budgets, attachments, and supporting materials in compliance with funder guidelines
    • Maintain a grant calendar tracking submission deadlines, reporting due dates, and renewal timelines

    Program & Planning Support

    • Support programmatic planning processes, including the preparation of annual work plans, program summaries, and strategic documents
    • Assist in the preparation of Board meeting materials, including program updates, financial summaries, and supporting documents
    • Coordinate meetings, workshops, and convenings involving partners, researchers, and conservation practitioners — including logistics, materials preparation, and follow-up
    • Help track and document program outcomes and indicators to support organizational learning and funder reporting
    • Contribute to organizational communications, including drafting website content, newsletters, and stakeholder updates as needed

    Qualifications

    Required

    • Bachelor’s degree, preferably in a relevant field such as environmental studies, biology, international development, public administration, or communications
    • Excellent written communication skills — the ability to write clearly, concisely, and compellingly across a range of audiences and formats is central to this role
    • Ability to travel internationally occasionally required
    • Strong organizational skills and attention to detail, with the ability to manage multiple concurrent deadlines
    • Demonstrated ability to take initiative, work independently, and exercise sound judgment in a fast-paced, small-team environment
    • Comfort working with spreadsheets and basic budget tracking
    • Proficiency in standard office software (Microsoft Office or Google Workspace) and facility with learning new tools and platforms
    • Collaborative disposition and strong interpersonal skills; ability to build trusted relationships with colleagues and external partners

    Preferred

    • 1–5 years of relevant experience in a nonprofit, research, conservation, or mission-driven organization
    • Prior exposure to grant writing or funder reporting, including in a supporting capacity
    • Familiarity with nonprofit financial management and outsourced accounting arrangements
    • Knowledge of biodiversity conservation, global conservation issues
    • Spanish language proficiency is a major plus
    • Experience with project management or grant tracking tools
