    Financial Co-Coordinator

    The ICCA Consortium is a membership-based association serving the global movement for territories of life. Our association emerged from earlier movements and volunteer networks advocating for rights and equity in nature conservation. With our diverse membership, we back the self-determined priorities of Indigenous Peoples and local communities who are custodians of their collectively conserved territories and areas. Since our establishment and in collaboration with many allies and partners, we have contributed to the growing recognition of and support for Indigenous Peoples’ and local communities’ unique rights, roles, and contributions in nature conservation – including discourse, law, policy, and practice – at global, regional, and national levels.

    Core Responsibilities

    This role will work closely with our current Financial Co-Coordinator with the objective of ensuring our financial processes and activities are carried out efficiently, ensuring the best practices are applied in all our financial procedures. The core responsibilities and activities associated with these objectives include the following:

    Provide strategic advice on the ICCA Consortium budgeting procedures

    • Support in maintaining, improving and updating the relevant budget and cashflow documents for the ICCA Consortium every month.
    • Advise the ICCA Consortium on budgeting implications.
    • Revise and align organisational and grant-specific budgets to support effective planning and provide inputs for payment and accounting systems.
    • Create and maintain event specific budgets, reimbursements and expense management processes, grant allocations and reconciliations for internal and external events, online and in-person events.

    Provide strategic advice on the ICCA Consortium sub-grant management procedures

    • In the first 3 months of the year, help to set up annual sub-grant agreements with ICCA Consortium Member organizations Work closely with the Finance Co-Coordinator and the Global Coordinator on the annual budget and provide advice on budgets for the renewals of sub grants and their distribution among current grants.
    • Advise on improving and updating sub-grant monitoring documents and systems and produce a monthly report advising the Global Coordinator, the team and sub-grantees of upcoming deadlines and obligations.
    • Receive and check financial reports from individual sub-grantees and consolidate them into financial reports for donors. Ensure compliance and fulfilment of sub-grant agreements, in collaboration with RPA (fiscal sponsor).

    Provide strategic advice on other ICCA Consortium financial management procedures

    • Conduct frequent reviews, advise on improving and updating grant monitoring documents and ICCA Consortium financial management systems. Produce a monthly report advising the Global Coordinator and the team of upcoming deadlines and obligations.
    • Manage expense processing and invoice payments.
    • Contribute to provide periodic financial reports and information needed by the Secretariat and Council of the ICCA Consortium, including input to the Treasurer’s Report prior to and during the General Assembly.
    • Provide advice concerning the financial needs and processes of the ICCA Consortium as a sponsored project. Ensure ICCA Consortium finance systems are aligned with RPA (fiscal sponsor) systems and requirements. Support for reconciliations of reports produced by the current fiscal sponsor monthly.
    • Create a handbook/guide to the grant and financial management procedures of the ICCA Consortium.

    Requirements and Key Attributes

    This engaging, dynamic, and multi-faceted role requires strong and diverse skills, competencies, and attributes.

    The mandatory requirements are:

    • Academic background in Finance, Accounting and related fields.
    • Notable experience in the Finance area of a non-profit organization, including decision-making to ensure good financial management and support for major projects/grants requiring specialized systems, structures and reporting.
    • Notable experience managing financial tools, such as Budgeting and Cash Flow.
    • Experience with event planning and event logistics, budget monitoring and reporting for online and in-person events (external international events and regional events)
    • Align with the ICCA Consortium’s mission, values, and organizational culture and understand the broader environment in which we operate.
    • Passion for and personal dedication to issues concerning Indigenous Peoples and local communities, conservation of nature and culture in territories of life, and social and environmental justice.
    • Strong work ethic, integrity, and commitment to work in service of our organizational vision, mission, manifesto, and strategy.
    • Ease with working independently and as part of a distributed global team with people from diverse cultures and backgrounds in various countries and time zones.
    • Excellent organizational and time management skills, attention to detail, self-starter attitude, and ability to take the initiative to organize her/his/their work independently and to prioritize and follow through diligently with an active and time-sensitive workload.
    • Functional fluency in written and spoken English (one of the Consortium’s three main working languages and currently the most commonly used language in the team).

    Highly desirable skills, competencies, and experiences include:

    • Direct experience working with grassroots and social movements and non-profit organizations at local, national, and regional levels.
    • Experience managing financial systems, such as Airbase, NetSuite.
    • Fluency in French and/or Spanish (the other two primary working languages of the ICCA Consortium).

    Location and Team Arrangements

    The Financial Co-Coordinator will work with the ICCA Consortium’s Secretariat. The ICCA Consortium has no physical offices, and all members of the Secretariat and collaborators work remotely, communicating online through email, online meeting platforms, and instant messaging and workflow apps. Candidates can be based anywhere worldwide and are responsible for securing a suitable working space with a reliable and consistent internet connection and electricity. Given the importance of building relationships face-to-face, members of the Secretariat may be involved in occasional in-person meetings as part of ongoing programmatic work and organizational events.

    The ICCA Consortium has been registered as a non-profit association in Switzerland since 2010. As of mid-2022, all operations (including contracts, grants, and funds) are managed through a fiscal sponsor (Rockefeller Philanthropy Advisors) in the United States.

    The Financial Co-Coordinator will work closely with the Global Coordinator, Financial Co-Coordinator, Operations teams, and other team members as needed.

    Consultancy Agreement and Remuneration

    Start date: The successful applicant is expected to start his Consultancy role as soon as possible, no later than August 30th, 2025.

    Agreement: In line with most other people in the ICCA Consortium, the Financial Co-Coordinator will be contracted on a consultancy agreement through the ICCA Consortium’s fiscal sponsor (Rockefeller Philanthropy Advisors) until December 2025 (the contract might be extended to the following year depending on mutual interest and continuity needs). The successful applicant must have legal authorization to work as an independent consultant in their country of residence and is responsible for arranging the same. She/he/they are responsible for all taxes, benefits, and other social insurance for the consultancy agreement. The consultancy agreement does not imply any rights or privileges related to relocation or visa assistance.

    Remuneration: As of 2024, the ICCA Consortium’s Secretariat has a standardized maximum remuneration rate (regardless of role, location, or other factors) equivalent to USD 36,000 per year. The Financial Co-Coordinator role is expected to require between 25% to 50% (maximum) time commitment. The remuneration will be calculated pro-rata depending on the agreed-upon start date and responsibilities/deliverables.

    Note: The ICCA Consortium’s Executive Committee/Council has committed to supporting the Secretariat in defining and working towards fair living remuneration for the team. Changes to remuneration and related internal policies/procedures are expected to be decided within the first half of 2024 and put into practice as soon as possible for all consultants and personnel, including the Internal Team Support Coordinator.
