    ABOUT THE ROLE

    The development coordinator is a key member of YBCA’s development team, providing essential administrative and operational support across all fundraising efforts—with a particular focus on YBCA’s membership program.

    The ideal candidate is proactive, detail-oriented, and highly collaborative. This role supports internal systems and donor engagement tools that strengthen the foundation for robust development operations. As the development team’s designated Salesforce specialist, the coordinator will help optimize the platform for membership management, donor tracking, and reporting.

    This position plays a vital role in cultivating and stewarding YBCA’s members and donors by coordinating acknowledgments, executing campaigns, maintaining data integrity, and supporting donor/member events. With a specific emphasis on membership coordination, the coordinator ensures that members are engaged, appreciated, and stewarded through a dynamic and highly responsive experience.

    PRIMARY RESPONSIBILITIES

    CRM and Administrative Support

    • Provide administrative support, including but not limited to; calendar management, meeting prep and follow-up, and internal coordination.
    • Serve as the development team’s Salesforce specialist—maintaining accurate donor and membership data, troubleshooting issues, and generating reports.
    • Process gifts and membership transactions with accuracy and efficiency.
    • Regularly reconcile development and membership reports with the finance team; support audits and end-of-year reconciliation.
    • Support budget, purchasing, and vendor-related processes as assigned.
    • Maintain monthly dashboards for key membership and development metrics (retention, upgrades, acquisition, etc.).

    Membership Coordination

    • Coordinate day-to-day membership operations, including processing new sign-ups, renewals, upgrades, and member inquiries.
    • Ensure timely member communications, benefit fulfillment, and updates.
    • Support the development and execution of membership campaigns and appeals.
    • Maintain member content on YBCA.org to ensure accuracy and storytelling impact.
    • Coordinate member-exclusive events and provide excellent onsite experiences.

    Stewardship, Cultivation & Engagement

    • Deliver exceptional customer service to donors and members, aligned with YBCA’s values of care and engagement.
    • Draft and send acknowledgments, stewardship materials, and impact updates.
    • Support donor/member pipeline tracking and lifecycle management.
    • Support research on prospects, funders, and board development opportunities.
    • Track and coordinate donor recognition across print and digital materials.
    • Assist in planning and executing events, including RSVPs, logistics, and follow-up.
    • Maintain nonprofit profiles (e.g., Charity Navigator, Guidestar).

    POSITION REQUIREMENTS

    • 2+ years of experience in administrative work; development experience in an arts nonprofit is a plus.
    • Proficiency in CRM systems (Salesforce preferred),Microsoft Office, and G-Suite tools.
    • Strong written, verbal, and interpersonal communication skills.
    • Excellent organizational and time-management skills with attention to detail.
    • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
    • Collaborative mindset with a strong commitment to equity, inclusion, and access.
    • Must be available to work periodic evenings and weekends for events and member engagements.
    • Thrives in a highly collaborative environment that values diversity, equity, inclusion, and access, and works effectively with people of varied backgrounds, experiences, points of view, and aspirations.
