Summary
Reproductive Equity Now’s Development & Operations Associate plays a key role in strengthening the organizational infrastructure that powers our advocacy work across New England. Working hand-in-hand with leadership staff, this role will work to anticipate obstacles, provide strategic resources, and ensure organizational systems operate efficiently and effectively.
Reporting jointly to the Director of Finance & Operations and the Chief Development Officer, the Development & Operations Associate will execute and support the administrative responsibilities of the organization, including serving as a key partner in development operations, compliance and human resources, and organizational project management. This position is ideal for someone passionate about reproductive equity who understands that strong operational and development infrastructure is key to the success of any organization.
Key Responsibilities
Area #1: Executing the Administrative Work of the Organization
- Support the Finance and Operations Director in preparing lobbying reports, campaign finance filings, tax documentation, bookkeeping support, and other compliance-related administrative materials
- Assist with human resources administration, including onboarding and offboarding staff, maintaining personnel records, and supporting internal systems and processes
- Help oversee the smooth day-to-day operation of the office, including coordination with building management, office supply management, and vendor relationships
- Provide administrative and operational support to staff across the organization, including mail management, organizational account administration, scheduling support, and basic troubleshooting and coordination for operational needs
Area #2: Project Manage Development Operations and Donor Stewardship Systems
- Manage and maintain the organization’s donor database in EveryAction, ensuring accurate data entry, gift processing, reporting, and record integrity
- Generate regular fundraising and donor reports for organizational leadership to support strategy, forecasting, and analysis
- In collaboration with development, finance, and program staff, coordinate organizational grant tracking systems, including managing timelines, preparing deliverables, tracking reporting requirements, and collecting grant documentation
- Develop and manage systems that support donor stewardship and cultivation for the organization’s frontline fundraisers
- Process mailed contributions, prepare deposits, track grant correspondence, and ensure timely donor acknowledgements
- Conduct prospect research on individual donors and foundations and prepare briefing materials and summary reports
- Provide administrative support to the Development team, including mail merges, assembling print mailings, drafting correspondence, and event or fundraising logistics as needed
Qualifications
- Exceptional attention to detail and commitment to success
- Comfort with numbers, spreadsheets, budgets, and databases, and ability to analyze and present this information to others
- Strong writing and research skills, and exceptional copywriting skills
- Strong project management skills with a demonstrated ability to deliver timely results
- Ability to drive tasks and projects to completion and meet deadlines
- Demonstrated ability to stay on top of multiple projects and areas of responsibility, keep yourself and others organized, and prioritize tasks effectively
- Proven ability to work independently and in a team to solve problems
- Willingness to work occasional evenings and weekends
- Proficiency across Microsoft (Word, Excel and Powerpoint) and the Google suite of programs (Drive, Documents, etc.)
- Preferred (but not required) experience includes administrative, financial, and/or human resources experience with a nonprofit or political organization; experience with QuickBooks Online or other accounting systems; experience with EveryAction, NGP Van, and G Suite
Location
The Development & Operations Associate must reside in Massachusetts. This is a hybrid position with travel to the office required on a weekly basis.
Compensation & Benefits
The Development & Operations Associate is a full-time, non-exempt position. The salary range is $65,000 - $75,000 in addition to a generous benefits package including health and dental insurance and a retirement account with employer match. The Development & Operations Associate is eligible for membership in the staff union, represented by the International Association of Machinists Local 264.
