The CFE Fund is seeking an Operations Associate to support daily office operations and provide desktop support for a team of approximately 35 employees. This role combines office management responsibilities with basic IT support, ensuring the office runs smoothly and employees have the technical support they need to be productive.
The Operations Associate will also serve as the primary liaison between the CFE Fund, building management, and an external IT vendor, coordinating support requests, troubleshooting issues, and managing office infrastructure. This role will support both in-office and remote employees, helping ensure smooth communication, access to shared systems, and reliable technical support.
The ideal candidate is highly organized, comfortable working across office operations and basic IT support, and interested in building systems and processes that improve efficiency, visibility, and employee support.
Primary Responsibilities
Key Responsibilities:
Office Operations and Administration
- Manage day-to-day office operations to ensure a productive and organized workplace
- Coordinate with building management regarding maintenance, access, and facility-related issues
- Maintain office supplies and equipment, including ordering and inventory management
- Track the office operations budget, including monitoring expenses and identifying cost efficiencies
- Support onboarding logistics for new employees (workspace setup, equipment coordination, etc.)
- Assist with office policies, procedures, and operational improvements
- Support event coordination including researching event venues, requesting bids, securing hotel room blocks, coordinating catering and other vendors, and providing day-of support.
Desktop and Technical Support
- Provide first-level desktop support for approximately 35 employees using Windows laptops
- Assist employees with troubleshooting basic hardware and software issues, both in-office and remote
- Support file access and collaboration using Microsoft OneDrive and shared drives
- Coordinate device setup, configuration, and user access management
- Escalate technical issues to the external IT vendor when needed
Vendor and IT Coordination
- Act as the primary liaison between the CFE Fund and the external IT service provider
- Coordinate service requests, hardware replacements, and troubleshooting efforts
- Track and follow up on open support tickets
- Assist with maintaining IT asset inventory and equipment lifecycle management
- Coordinate with vendors and service providers to ensure timely delivery of office and IT services
Process Improvement and Systems
- Develop and document operational processes to improve efficiency and consistency
- Help implement and maintain ticketing or request tracking systems for IT and office support requests
- Help build and maintain simple operational systems and workflows to support office and IT-related requests
- Track IT support issues, resolutions, and follow-up actions to improve responsiveness and consistency
- Maintain organized records of recurring issues, solutions, and vendor support activity
- Identify opportunities to streamline workflows and improve employee support processes
- Maintain documentation for office procedures, IT support requests, and vendor interactions
- Perform other administrative tasks as needed
Qualifications
- Bachelor’s Degree or at least 4 years of relevant experience in lieu of a degree.
- 2+ years of experience in office operations, office management, IT support, or similar operational roles
- Basic knowledge of Windows operating systems and desktop troubleshooting
- Familiarity with Microsoft 365 tools, particularly OneDrive
- Experience creating, organizing, or improving operational processes and tracking systems
- Strong organizational and problem-solving skills with an interest in systems thinking and process improvement
- Ability to manage multiple priorities and respond quickly to operational issues
- Excellent communication skills and ability to coordinate with vendors and internal teams
- Experience implementing or managing ticketing or service request systems preferred
- Knowledge of Microsoft SharePoint sites and document management preferred
