    Founded in 1989, KapKa Cooperative School is a small, cooperative elementary school in Seattle. We are an independent, non-profit, state-approved school and candidate member of the Northwest Association of Independent Schools. Located on the border of the Fremont and Phinney neighborhoods just one block from Woodland Park, we spend a good part of each day engaging with the natural world.

    Job Description

    The Administrative Assistant (AA) provides support to KapKa’s Administrators, performing a variety of tasks to ensure the smooth day-to-day operations of the school and serving as a key point of contact for students, staff, families, and visitors.

    The AA utilizes strong written, verbal, and interpersonal skills, and maintains professionalism and confidentiality when interacting with others. This individual consistently exercises good judgment in a variety of situations, is able to balance multiple competing priorities, and represents the school and community with professionalism, warmth, and enthusiasm. The ideal candidate is a highly organized, detail-oriented, team player who enjoys working with young children and collaborating in a mission-driven, community-oriented organization.

    Position Details

    • Supervisor: Head of School
    • Classification: Part-time, non-exempt, hourly employee
    • Hours: 7:45 am - 12:45 pm, Monday - Friday
    • Work Calendar: Approximately August 20, 2025 - June 18, 2026, following the school calendar for holidays and breaks

    Responsibilities

    • Oversee front desk reception, answering phones, greeting visitors, and directing them to the appropriate staff
    • Scan and send incoming mail to Business Operations Manager
    • Manage registrations and attendance for childcare, enrichment classes, and summer programs, communicating with the Business Operations Manager for billing and providing staff with class lists
    • Regularly inventory and replenish school and office supplies
    • Support daily opening of the school building, verifying common areas are clean and set up for the day, as well as preparing coffee and hot water for tea
    • Monitor and support students in the office, checking for symptoms of illness and providing minor first aid, etc. as needed
    • Maintain and update Google calendars
    • Manage daily attendance reporting and communication, as well as bi-annual reporting to teachers for reports
    • Support administrators with general administrative support duties (form collection, printing, filing, data entry, organization, etc.)
    • Other related duties as assigned

    Qualifications & Skills

    • Associate's Degree and minimum one (1) year of related experience (ideally in a school or non-profit organization) required
    • Proficient use of Microsoft Office suite, Google Suite
    • CPR/First Aid certified, or able to become certified soon after hire date
    • Experience working with elementary-aged children
    • Enthusiasm for working collaboratively and respectfully with families, students, and colleagues
    • Strong communication and interpersonal skills
    • Demonstrated discretion in handling confidential information and ability to work with tact and diplomacy
    • Ability to prioritize, organize and manage multiple projects efficiently
    • Attention to detail and accuracy

    Physical Requirements

    • Able to lift up to 35 pounds
    • Can stand and sit for long periods of time
    • Able to climb stairs, walk on uneven surfaces, and escort groups of students to and from classes both inside and outside of school buildings

    Compensation and Benefits

    • Hourly Pay Range of $25 - $28, commensurate with qualifications and experience
