    The Community Foundation is looking for a detail-oriented Grants Administrator to anchor its grantmaking team! Join one of New Jersey’s most active and expansive grantmaking teams. The Community Foundation seeks a conscientious, detail-oriented professional to join the Grants team.

    CFNJ’s mission is to support charitable giving that is inspired by our donors, who desire to make a difference via creative solutions and achieve lasting change. CFNJ’s funds currently hold $1 billion in charitable assets.

    The Grants Administrator, in collaboration with the grants team, is responsible for receiving, processing, and executing the timely distribution of the more than 8,000 grants worth tens of millions of dollars that flow from the Community Foundation to nonprofits on an annual basis. The Grants Administrator will have a breadth of skills and abilities and is able to execute a weekly grants program, respond to fundholders’ questions and needs about their grants, and serve as an outward-facing liaison with the nonprofit grantee community on administration matters. The Grants Administrator is key to the Foundation’s core business, reputation, and success.

    Responsibilities:

    The Grants Administrator will:

    • Be an integral member of a grants team that administers a weekly portfolio of grants year-round.
    • Perform accurate due diligence on incoming grant recommendations received via multiple channels (online donor portal, email, phone and letter), enter grant recommendations into the Foundation’s grants management system, create grant awards in the Foundation’s financial system, and oversee the transmittal of grant awards correspondence to grantees.
    • Establish standards and communicate deadlines for information management, review work for completeness, and ensure full compliance with the Foundation’s institutional reporting obligations and standards.
    • Prepare weekly correspondence with the Foundation’s Board Executive Committee for review of grants above certain dollar thresholds.
    • Ensure that accurate correspondence to grantees, donors and any other follow-up has been completed.
    • Manage the accurate distribution of designated grants – including recurring payments, as well as multi-part payments, per fundholders’ intent and interests; including interaction with both fundholders and grantees on these matters, as needed.
    • Assist in the Foundation-wide effort to keep donor and grantee information updated in the grants management system.
    • Provide technical assistance to fundholders and grantees with our online portal.

    Education, Experience and Skills:

    • A Bachelor's degree, with 3 to 7+ years of professional experience.
    • Able to track and report on grants management, by contributing to moderately complex aspects of grantmaking reports, and accessing grants management information from the system to track grants data, including weekly and monthly reports. Attention to detail is important.
    • The ability to work collaboratively in a team as well as independently with minimal supervision.
    • Excellent customer service skills. Exhibits a positive attitude and professional behavior to communicate effectively.
    • The ability to think critically about best practices for grants management, and to problem-solve as needed to enhance the Grants Team’s output and productivity.
    • An interest and ability to highlight the Foundation’s impact in grantmaking to the community.
    • Solid computer skills with Microsoft Office suite (Word, Excel – including simple pivot tables, PowerPoint, and Outlook), database management systems and use of Internet, and willingness to learn customized software. Experience with Foundant a plus.

    Salary is $60,000 to $70,000, commensurate with experience.
