    Founded in 1988 by Paul Newman, The Hole in the Wall Gang Camp provides “a different kind of healing” to thousands of children with serious illnesses and their families annually – all completely free of charge. For many of these children and families, Hole in the Wall provides multiple Camp experiences throughout the year at the facility in Ashford, Conn, in dozens of hospitals and clinics, directly in camper homes and communities and through other outreach activities across the Northeast and Mid-Atlantic.

    Position Description:

    The Recruitment & Volunteer Coordinator role will lead camper recruitment and volunteer stewardship for the Camp location in Queenstown, Maryland. The role will oversee the recruitment and management of applications for both campers and volunteers, ensuring that all participants complete the registration process and submit the required documentation for the Family Weekend programming. This role also includes training volunteers, welcoming families to the camp, and coordinating transportation for all participants.

    • Communicate and demonstrate the organization's mission, goals, and culture, and lead staff and campers in creating a social context that honors our core values of safety, inclusion, friendship, possibility, and gratitude.
    • Be responsible for knowing and adhering to the policies and procedures contained within the Camp Family Weekend Manual.
    • Manage the recruitment & volunteer budget.
    • Maintain procedural compliance with all federal, state, ACA, and SeriousFun Children's Network statutes and best practices.
    • Design and implement the volunteer program for the Queenstown site while maintaining consistency of care across the organization for volunteers.
    • In partnership with the Camp Director, recruit, interview, train, and supervise volunteers for residential programing.
    • Maintain timely, respectful communication throughout the volunteer onboarding process.
    • Oversee background checks, medical forms, and volunteer agreements for all volunteers using CRM database (Salesforce).
    • Coordinate volunteer placements, housing, and any needed transportation logistics.
    • Plan and lead volunteer orientations throughout the year.
    • Build a strong volunteer community through year-round engagement and communication.
    • In coordination with the other volunteer department colleagues, organize volunteer appreciation efforts, including thank-you gifts, milestone recognitions, and holiday outreach.
    • Respond to volunteer inquiries via email and website contacts.
    • Direct all needed steps for campers and their families to attend Camp. This includes camper recruitment, managing applications and CRM database system support for the Maryland location.
    • Be the first point of contact for Camp families, providing clear and compassionate communication.
    • With the Camp Director, develop inclusive recruitment strategies to encourage diverse camper participation.
    • Maintain and update camper applications, including media releases, evaluations, and permissions.
    • Collaborate with the Nursing Director to determine camper eligibility and manage health documentation.
    • Represent Camp at recruitment events and build relationships with hospitals and referral partners.
    • Assign camper session dates, enter camper and family data, maintain the database as needed.
    • Lead virtual family orientation meetings along with the program team and send out camper acceptance packets.
    • Create database reports and dashboards to support program planning and participant needs.
    • Assist with special projects and perform additional duties as assigned.

    Our Recruitment and Volunteer Coordinator - Maryland should have…

    • A bachelor's degree or coursework in child life, non-profit management, social work, or other relevant field is desirable, but there is no minimum education requirement.
    • Experience using Salesforce or another CRM database is desired.
    • Previous work with volunteer supervision desired.
    • Interviewing and hiring experience preferred, but not required.
    • Previous work within a residential camping, medical, or non-profit organization desired.
    • The ability to establish positive relationships with a variety of people in multicultural environments.
    • Excellent written and verbal communications skills to diverse internal/external stakeholders, including reports, written communications, and presentations to key audiences.
    • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
    • Prior knowledge or the ability to quickly learn Salesforce, FormAssembly, and other digital database and workflow tools.
    • Highly organized with the ability to manage priorities in an evolving program.
    • This role is based out of the Queenstown, Maryland Office.
    • The ability to operate computer for extended periods with appropriate breaks.
    • The ability to work a flexible schedule with some weekend requirements.
    • Must pass national and state background checks for childcare work.
    • Must be willing to prioritize camper safety by providing your vaccination and physical records to the medical team and getting additional vaccinations, such as the flu shot, on a yearly basis. (Required for all staff and volunteers working directly with
