JOB CLASSIFICATION: Full-time, 40 hours/week
SCHEDULE: Mon-Fri, 10:00 am – 6:00 pm. Day-to-day schedule may be flexible depending on programming commitments. This position requires occasional evening and weekend work.
The breakdown of hours for this job are roughly:
- 60% onsite at the PAIR office
- 40% offsite for community events, recruitment, and volunteer observation / supervision
REPORTS TO: Director of Programs
OVERVIEW:
PAIR supports refugee youth as they navigate American society, reach their academic potential, and become community leaders.
Volunteer mentors are central to PAIR’s ability to provide safe, engaging, and high-quality programming for refugee youth. Volunteers serve as consistent mentors to individual students or small groups, support field trips and special events, and contribute to organizational capacity through administrative internships. The Volunteer Experience Manager leads the full volunteer lifecycle, including recruitment, onboarding, training, engagement, and retention. This role ensures volunteers are well-prepared for cross-cultural, relationship-based mentorship and provides ongoing support to sustain strong, consistent engagement. The Manager also partners with the Board of Directors in their role as active volunteers, ensuring alignment with program priorities and staff capacity.
This position works in close collaboration with program, development, and operations teams and requires clear, timely, and thoughtful communication with both internal staff and external stakeholders.
This is a year-round position, starting in May 2026.
RESPONSIBILITIES:
The Volunteer Experience Manager will be responsible for the following:
Volunteer Program Management:
- Oversee volunteer recruitment efforts, including representing PAIR at events and speaking engagements, and maintaining volunteer opportunity listings on the PAIR website and volunteer boards.
- Responsible for ensuring program events have enough volunteers, ensuring they have clear instructions, are motivated, and receive feedback to ensure a positive volunteering experience and retain volunteers.
- Brief and debrief with volunteer groups at events.
- Coordinate fall and spring semester after-school volunteer training, summer camp training, Global Scholars mentor training, and orientation for special events in collaboration with the program teams.
- Ensure thorough volunteer onboarding, including screening and background checks.
- Recruit, onboard, and supervise site leaders for after-school programs.
- Assess volunteer skills and assign individuals to specific projects, tasks, and mentees.
- Develop volunteer engagement and recognition strategies and plan volunteer appreciation at the end of each semester.
- Create essential volunteer resources and tools such as training modules, volunteer manuals, and handbooks.
- Maintain an updated database of volunteer contact information, availability, skills, and resources using Airtable and/or Salesforce.
- Work in collaboration with the board of directors as it relates to Teen Council activities and other volunteer opportunities
- Work with the executive director in board related activities
Campaigns, Events & Community Outreach
- Attend Volunteer engagement events; Prepare and facilitate volunteer recruitment efforts
- Maintain positive relationships with PAIR’s volunteers, Board of Directors, University partners, and other key stakeholders.
- Work closely with the development team to coordinate corporate interests and suitable volunteer projects.
- Organize, plan, and lead volunteer opportunities with corporate groups to ensure a rewarding and meaningful experience.
- Serve as primary liaison for PAIR’s student chapter.
Communications & Marketing
- Create compelling and engaging volunteer content for newsletters, brochures, social media, press releases, website copy, and more.
- Build a strong online volunteer community through social media.
- Work with the communications team on outreach plans, promotional communications, and presentations to recruit volunteers.
- Maintaining a unified and recognizable brand identity across all communication channels.
- Create and manage volunteer pages on PAIR website, including blog posts and mentor resources.
- Respond to volunteer requests received via email, social media, and from sign-ups at tabling events.
Data, Reporting & Evaluation
- Develop volunteer satisfaction and experience surveys and track volunteer responses.
- Visit programs as needed for observations and coaching of volunteers.
- Track Volunteer engagement, recruitment numbers, and annual attendance
- Provide data as needed on volunteer numbers, attendance, and outcomes.
Finance, Budgeting & Resource Management
- Manage volunteer program budget.
- Submit monthly expense reports to the Director of Programs.
- Oversee volunteer carpool reimbursements, track spending, and submit disbursement requests.
Supervision & Team Leadership
- Supervise interns and work study participants as needed.
- Approve timesheets and conduct weekly supervision meetings with any supervisees
QUALIFICATIONS:
- Bachelor’s degree from an accredited college or university or equivalent experience in nonprofit management, education, social work, or a related field
- 2–3 + years of experience in volunteer management, youth programming, or community engagement
- Demonstrated ability to recruit, train, and retain volunteers in a relationship-based model (not just one-time events)
- Experience working with youth, ideally in mentorship, education, or immigrant/refugee-serving programs, preferred
- Strong interpersonal skills with the ability to build trust across cultures, backgrounds, and age groups
- Highly organized with the ability to manage multiple volunteer pipelines, schedules, and program needs
- Experience navigating volunteer boundaries, expectations, and accountability
- Experience facilitating community partnerships
- Experience planning events or group service activities
- Strong written and oral communications skills and proficiency in word processing, spreadsheets, and database
- Ability to problem solve and navigate last-minute changes and completing priorities.
- Experience with Salesforce or other CRM
- Candidates will be required to undergo a background check with fingerprints
- Must have own vehicle with valid driver’s license and insurance; must be willing to travel to school and community sites and transport students in rented vehicle when needed
COMPENSATION AND BENEFITS:
- Annual salary of $45,000/year
- Monthly cell phone stipend of $25 or use of a work cell phone; mileage reimbursement for position-related driving at the federal standard mileage reimbursement rate for required travel in excess of mileage incurred for regular commute
- Full-time employees are eligible for health, dental, and vision insurance. Short-term disability and life insurance are paid in full by PAIR on behalf of full-time staff.
- Full-time employees are eligible for twenty days of accrued vacation, fifteen holidays, and ten days of paid sick time annually, and paid organization holidays.
