Position Title: Office Assistant
Reports To: Operations Team
About The Diabetes Foundation: Since 1990, DF has been dedicated to improving lives of individuals at risk and living with diabetes through education, empowerment, and equitable access to health resources. Our goal is to help individuals and families prevent and manage diabetes, embrace wellness, and build lifelong healthy habits. Through diabetes emergency assistance, self-management workshops, nutrition education, community health fairs, and partnerships with healthcare and public health organizations, we meet people where they are — providing knowledge, encouragement and support.
Position Summary: The Office Assistant is responsible for supporting the agency’s day-to-day activities including operations, fundraising and program services. Performing these primary duties will contribute to the overall positive and stimulating working environment and atmosphere within DF.
Primary Duties and Responsibilities:
- Answer and direct incoming phone calls while providing excellent customer service and professional phone etiquette.
- Greet and assist donors, participants, volunteers, and visitors, answering general questions and directing them to the appropriate program or department.
- Respond to general email inquiries and route messages to the appropriate staff members in a timely manner.
- Provide administrative support for fundraising initiatives, including preparing donor correspondence, processing contributions, performing mail merges, and coordinating mailings.
- Prepare and maintain fundraising packets, press kits, event materials, and office supplies.
- Assist with the planning and coordination of fundraising and community events.
- Maintain organized physical and electronic filing systems, ensuring records are accurate and up to date.
- Perform data entry and maintain accurate records and databases with a high level of attention to detail.
- Assist with general office duties, including copying, scanning, filing, and distributing mail.
- Support staff with day-to-day administrative tasks to help ensure efficient office operations.
- Perform other duties as assigned.

- Proficiency in Spanish is a plus.
