    Development Operations Coordinator

    Position Summary:

    The Development Operations Coordinator plays a key role in the success of The Brookline Center’s ambitious fundraising program, providing the operational support that helps the Development team build and sustain strong donor relationships and grow philanthropic revenue.

    Working across individual and institutional giving, major and planned gifts, donor engagement, and fundraising events, the Coordinator helps ensure that donor information is accurate, fundraising activities stay on track, and the team has the data and insights needed to make informed decisions. The Coordinator will also help identify opportunities to strengthen systems, improve workflows, and make fundraising operations more efficient and effective.

    This role serves as an important operational partner to members of the Development team, maintaining a portfolio-wide view of moves management, CRM data, donor communications, gift processing, and stewardship activities. This is an excellent opportunity for an organized, detail-oriented, and proactive professional interested in building a career in nonprofit fundraising, with broad exposure to fundraising strategy and donor engagement while developing expertise in development operations.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Fundraising and Engagement – 35%

    Campaign & Donor Support

      • Support the implementation of fundraising campaigns, appeals, and donor engagement activities.
      • Interact with donors through inquiries, stewardship, campaign outreach, and other Development activities, providing a warm, professional, and responsive donor experience.
      • Support major gifts, institutional giving, and donor engagement through documentation, prospect research, and preparation of materials.
      • Help maintain accurate records of donor interactions, commitments, and stewardship activities.
      • Support management of Development general inboxes and coordinate timely, professional responses to donor and community inquiries.

    Portfolio & Moves Management

      • Coordinate moves management tracking across fundraising portfolios, helping ensure that planned donor actions and stewardship activities are on schedule.
      • Monitor CRM completeness and data quality, following up with team members to support accurate and timely documentation of donor activities.
      • Generate reports and data summaries that help the Development team understand portfolio activity, fundraising performance, and progress toward goals.
      • Help identify gaps and opportunities for improved coordination across fundraising portfolios.

    Event Coordination

      • Support guest, sponsor, invitation, registration, and attendance management for fundraising and stewardship events.
      • Coordinate vendor communications, timelines, and logistics as assigned.
      • Help coordinate event day logistics.
      • Prepare post-event reports and data to support donor follow-up and stewardship.

    CRM, Data Management & Reporting — 25%

      • Use Neon CRM to create financial and fundraising reports, lists, and other data exports.
      • Maintain accurate and consistent donor, organizational, event, and gift records.
      • Conduct routine CRM audits and data-quality reviews to identify and resolve incomplete, inconsistent, or outdated information.
      • Track pledge reminders, invoices, and related donor communications.
      • Build and maintain donor segments for targeted outreach, analysis, and reporting.
      • Develop and maintain reports, dashboards, and data summaries that help the team monitor fundraising activity and performance.
      • Help identify opportunities to improve CRM processes, reporting practices, and data workflows.

    Finance & Gift Administration — 25%

      • Partner with the Development Manager and Finance team to support accurate and timely gift processing, reconciliation, and reporting.
      • Draft and prepare donor acknowledgments and other donor communications.
      • Process gifts and ensure accurate coding, documentation, and deposit reconciliation between Neon CRM and Finance records.
      • Support pledge and payment tracking and help resolve discrepancies between Development and Finance records.
      • Prepare month-end, year-end, and other financial and fundraising reports as needed by Finance and the Development Manager.
      • Maintain appropriate confidentiality and care when handling donor and financial information.

    Administrative & Team Support — 15%

      • Manage the shared Development team calendar and support coordination of key deadlines and activities.
      • Capture team meeting notes, decisions, and follow-up action items and help ensure next steps remain on track.
      • Support donor, foundation, and prospect research.
      • Create polished visuals, data summaries, presentations, and reports.
      • Support Development office operations, including supplies and orders.
      • Contribute to special projects and other Development priorities as needed.
      • Prepare board and committee communications, notes, and materials as needed.

    Qualifications

      • Genuine interest in The Brookline Center’s mission and in expanding access to high-quality mental health care.
      • 2–3 years of fundraising, nonprofit development, development operations, or related experience preferred. Candidates with strong transferable experience in a fast-paced administrative, operations, project coordination, or data-focused role will be considered.
      • Hands-on experience with a donor CRM, database, or similar data management system, including entering and maintaining records, running reports, and supporting data integrity. Experience with Neon CRM or a similar fundraising database is a plus but not required.
      • Experience collaborating with a finance team or function, including reconciling records, supporting reporting requests, processing transactions, or working across departments on shared data.
      • Strong project management and organizational skills, with the ability to coordinate multiple moving pieces and follow through without direct oversight on every task.
      • Exceptional attention to detail, particularly when working with donor records, financial information, and data where accuracy is essential.
      • Strong written and verbal communication skills, including the ability to prepare polished, professional materials for donors, colleagues, organizational leadership, board members, and other audiences.
      • Sound judgment and discretion when working with confidential donor, prospect, organizational, and financial information.
      • Proactive and solutions-oriented, with the ability to anticipate next steps, identify gaps, propose improvements, and move projects forward independently.
      • Comfortable working with data and able to translate information into clear reports, summaries, and actionable insights.
      • Ability and willingness to learn new technology and systems and to help improve processes and workflows over time.
      • Strong interpersonal skills and a collaborative approach, with an enjoyment of interacting with people and building positive relationships with donors, colleagues, and other partners.

      • Gifts and financial records are processed and reconciled accurately and on time.

      • Development staff have useful reports and data to guide fundraising activity and decision-making.
      • Events, campaigns, and donor activities are well coordinated and followed through.
      • Systems and workflows become more efficient, consistent, and reliable over time.

    Salary, Hours and Benefits:

    Salary range: $55,000-$63,000

    Placement within this range will depend on factors including the candidate’s relevant experience, demonstrated skills, alignment with the role’s responsibilities, and internal equity. While the posted range represents our good-faith expectation of compensation for this position, the actual salary offered may fall toward the lower end of the range for individuals who are still developing skills or experience aligned with the role's full scope.

    This is a full-time position, 40 hours/week.
