    Director of Clinical Operations

    Reports to: Executive Director Status: Full-time, Exempt Location: Remote

    About the Organization

    Plan A Health is a nonprofit organization operating free clinics in the rural south.

    Position Summary

    The Director of Clinical Operations ensures the quality, compliance, and operational integrity of clinical care across our clinic sites. This role closely reviews patient charts and provider performance, manages credentialing and licensing across all states of operation, supports clinical operations, and oversees billing accuracy and compliance. The Director of Clinical Operations works closely with the Program Director (who manages clinic scheduling, outreach, and community operations) and reports directly to the Executive Director on all clinical quality and compliance matters.

    Key Responsibilities

    Clinical Quality & Chart Review

    • Conduct regular, structured chart audits to ensure documentation meets clinical, regulatory, and payer standards.
    • Monitor individual provider performance and identify quality concerns or documentation gaps and provide feedback to employees
    • Partner with the Research Associate/QI function to align individual chart findings with aggregate quality improvement initiatives
    • Develop and maintain clinical documentation policies and provider feedback processes
    • Audit charts against defined protocols for patient care.

    Credentialing & Licensing

    • Manage initial credentialing and re-credentialing for all clinical providers across all states of operation
    • Track and ensure timely renewal of provider licenses, certifications, and payer enrollments
    • Manage clinic credentialing with local insurance companies
    • Serve as the point of contact for credentialing bodies, licensing boards, and payer credentialing departments
    • Anticipate and manage credentialing timelines for new hires and new clinic sites (including the upcoming 4th clinic)

    Billing Oversight

    • Oversee billing accuracy, coding compliance, and claims processes (directly or via oversight of a billing vendor/staff)
    • Serve as the clinical liaison with billing operations

    Cross-Functional Coordination

    • Partner with the Program Director on staffing, workflow, and clinic-level operational issues that intersect with clinical quality
    • Advise the Executive Director on clinical risk, compliance exposure, and quality trends
    • Support onboarding of clinical staff at new or existing sites, including at the upcoming 4th clinic
    • Ensure clinical staff has appropriate supplies and resources to fulfill their role

    Qualifications

    • Clinical background or training with knowledge of clinical protocols around sexual and reproductive health
    • Minimum 5 years of clinic operations experience including chart audits/QI Processes in a clinical setting
    • Working knowledge of credentialing processes and multi-state licensing requirements
    • Familiarity with medical billing/coding compliance (CPT, ICD-10) and payer requirements
    • Experience with EHR systems (we use Athena but specific experience with that platform not required)
    • Strong organizational skills and comfort working independently across multiple sites with remote team
    • A self starter able to identify protocol needs and proceed through development and implementation

    What Success Looks Like in Year One

    • Chart audit process established and running on a regular cadence across all sites
    • Credentialing/licensing tracking system in place with zero lapses
    • Billing oversight process identifies and reduces denial/error rates
    • Clear, documented division of responsibilities with the Program Director
