    Role title: Programme Officer Responsible to: Senior Programme Manager - Mentoring

    Location: London based, hybrid working (2 days minimum in office)

    Salary: £27,824

    Full/part time: Full time (35 hours per week). Core office hours are 10:30am – 3:30pm.

    Term: Fixed Term for 1 year with potential to extend depending on organisation requirements

    Job overview

    We are seeking a skilled Programme Officer to support the end-to-end delivery of our Mentoring Women in Business Programme and ensure participants are supported throughout. You will also support partners and donors to contribute to the delivery and expansion of the programme.

    Department purpose

    This role will sit in the Programmes department. The Programmes department is responsible for the development and delivery of our programmes and services, ensuring they are delivered to a high quality and remain responsive to women entrepreneurs’ needs. These are delivered directly to women in order to support them to gain the skills, knowledge, confidence and networks needed to start, sustain and grow successful businesses.

    The department is divided into three teams: Entrepreneurship, which is responsible for delivery of HerVenture and the three ‘Road to’ programmes, Mentoring, which is responsible for delivery of the Mentoring Women in Business programme, and Monitoring, Evaluation and Learning (MEL), which is responsible for quality impact measurement and analysis.

    Key responsibilities

    • Support with cohort recruitment and onboarding:
    • Process and evaluate applications from prospective mentees and mentors within a specific timeframe, correspond with applicants to obtain further information where necessary.
    • Use the mentoring software to support with tracking users through the intake process, ensuring that users are in the right place and have appropriate tags, summaries, notes, etc.
    • Work closely with the Senior Programme Manager to ensure the correct matching criteria area is in place, matches are reviewed, and mass matches are made.
    • Provision of support to mentors and mentees
    • Provide high-quality proactive and reactive relationship support to mentees and mentors using the mentoring software in a timely and professional fashion.
    • Provide coaching to mentees and mentors on mentoring techniques and promote the online support resources.
    • Maintain accurate records of mentor and mentee relationships on the mentoring software.
    • Manage cases closely, adhering to guidelines, to ensure high quality and consistent service to mentors and mentees.
    • Attend weekly relationship support meetings and complete tasks assigned by Senior Programme Manager within stipulated timeframes.
    • Support with donor management and reporting
    • Complete any actions from donor meetings, and if required, circulate meeting minutes.
    • Coordinate feedback extracted from relationship support function and share with Senior Programme Manager at key intervals.
    • Maintain accurate records of donor engagement on Raiser’s Edge.
    • Mentee referral partner management
    • Maintain accurate records of partner engagement on Raiser’s Edge.
    • Triage partner communications and allocate to appropriate team members.
    • Learning Content
    • Curate learning content for mentees based on key themes they express interest in. Note: This will not entail creating new content, but rather identifying existing content from peer organisations that is relevant to our target audience of women entrepreneurs.
    • Maintain the Mentoring e-library to ensure it has the latest versions of the resources.
    • Collect existing learning content around agreed topics and consolidate into regular LinkedIn content.
    • Put technical learning content online, ensuring it is clearly labelled and accessible
    • Actively oversee and update the programmes LinkedIn Group.
    • Gather feedback from LinkedIn group. Discuss feedback and agree next steps with Senior Programme Manager – Mentoring before actioning make recommended changes.
    • Collaborate with Senior Programme Manager – Mentoring to review approach to monthly webinars

    Communications

    • Update recruitment resources that are shared with mentee referral partners and donors during recruitment.
    • Update any communication materials to support cohort graduation preparation.
    • Be the key contact point within the Mentoring programme for any ad hoc communication requests from Foundation colleagues.
    • Coordinate outreach to mentoring programme participants who may be interested in sharing their stories and experience participating on the mentoring programme for case studies and other external engagement opportunities.
    • Ensure the Foundation’s Communications Calendar is kept up to date with key dates for mentoring, ensuring this fully represents the mentoring programme’s work.

    Other responsibilities

    • Work closely with the Senior Programme Manager to ensure safeguarding policies and procedures are being implemented and adhered to.
    • Support the Senior Programme Manager in specific projects, including the production of donor reports as requested.
    • Provide general administration for senior colleagues when required.
    • Collaborate with colleagues across the Programmes department to support ad hoc requests for information on mentoring pairs.

    Essential criteria

    • Experience in delivering high quality, professional customer service.
    • Experience of delivering administrative processes within tight deadlines.
    • Excellent attention to detail.
    • Excellent written and verbal communication skills.
    • Ability to work independently and proactively, you will have the confidence to deal with a wide variety of people, prioritise competing deadlines and comprehend complex situations quickly.

    Desirable criteria

    An interest or background in entrepreneurship, mentoring and / or women’s economic empowerment.

    Experience working with data in excel.
